Position Title: Payroll Analyst Tax - 4N


 


Position Summary


Responsible for ensuring the accuracy of tax withholding and communication with the various tax authorities, preparing various ad hoc reconciliations and reports, performing payroll and tax calculations, researching labor law and payroll tax questions, data entry, and providing other assistance to Payroll Manager and Assistant Controller as requested.


 


Essential Job Functions



  • Research and verify any new tax codes/jurisdictions that arise during payroll processing.

  • Coordinate with payroll service provider and regulatory agencies to establish and maintain federal, state, and local taxing authority accounts, calculate and balance all required taxes.  Establish on-line user ID and passwords for each tax authority as required.      

  • Research and verify current SUI rates for accuracy and ensure they are updated timely in the system for payroll processing.  Verify any rate discrepancies between the taxing agency and the system for accuracy of quarterly debits/credits of tax filings.

  • Handle and resolve any employee tax inquiries/issues as they arise and work with Senior Payroll analyst on any potential corrections that may be required.  Assist employees with any self-service related inquiries on tax form submissions and bank account changes.

  • Review personal address change and office location change reports each payroll and make any necessary tax withholding changes as result.  When necessary, requires outreach to employees, managers, and/or Business Support to verify accuracy prior to any change in taxes.

  • Work with Senior Payroll Analyst and Business Support on setting up any new office locations or corrections to existing office locations (to include home office locations) with the proper tax code.

  • Periodic review of office location and employee withholding taxation as needed to ensure accuracy of tax withholding during payroll processing to help alleviate erroneous taxation and correction.

  • Respond to unemployment claims for all the state U/C agencies.  Verify and report any fraudulent claims timely to the agency and outreach to the affected employee.

  • Process employee terminations and final payout and ensure timeliness of payments per required state regulations.

  • Assist Treasury department with monitoring of the Treasury mailbox and handle requests as needed.  Copies of cancelled checks, stop payment of checks, verifying cashed checks, and coordinating with Treasury and Accounts Payable when necessary.

  • Ensure SOX compliance by adhering to internal control requirements and maintaining updated documentation for payroll related processes.

  • Conduct and prepare non-routine payroll related projects and reports as directed by the Payroll Manager and Assistant Controller.

  • Continually review processes for efficiencies and suggest improvements. Leverage new payroll system features, testing upgrades and enhancements when available. Assist Payroll Manager in the implementation of such enhancements.

  • Prepare supporting documentation and reporting for internal and external audit requests.

  • Partner with Business Support to resolve employee questions and issues. Serve as the payroll subject matter expert for employees companywide by understanding the functional end-to-end processing for payroll and interpret payroll policies as needed.

  • Create an environment of collaboration with IT, Tax, Legal, Business Support and other functional partners as appropriate.  Holds self accountable for outcomes.      

 


Education/Certifications



  • Bachelor’s Degree in Accounting or equivalent work experience preferred

 


Experience/Minimum Requirements



  • Two (2) to four (4) years of related experience

 


Other Skills/Abilities



  • Demonstrate a working knowledge of payroll processes, procedures, controls, regulations, compliance, SOX requirements, and GAAP reporting.

  • Experience with payroll systems and accounting software systems (UKG, Ultimate experience required)

  • Experience with BI reporting tools including creating new reports/dashboards, maintaining/updating existing reports and scheduling reports.

  • Advanced knowledge of Microsoft applications, particularly Excel

  • Ability to work under pressure, multi-task, maintain flexibility, and meet deadlines

  • Ability to communicate effectively, including with third party service providers, regulatory agencies, and employees at all levels within the company

  • Ability to work well on a team and collaborate cross functionally

  • Analytical and problem-solving skills

  • Adaptable to change

  • Ability to maintain confidential information

Working Conditions:  Works in a normal office setting with no exposure to adverse environmental conditions.  We offer a hybrid working model with 3 days in local office and up to 2 days working remotely each week.
