Underwriting Team Support Technician (Administrative Assistant, Clerk) at Penn National Mutual Casualty Insurance

Job Description:

The Underwriting Team Support Technician (UTST) performs administrative and simple processing tasks to ensure that pending insurance and Fidelity and Surety transactions move efficiently within the Office.  Transactions cover all Commercial and Personal Lines of business and Fidelity and Surety business.  

ESSENTIAL DUTIES AND RESPONSIBILITIES OF THE UNDERWRTITING TEAM SUPPORT TECHNICIAN

Receives transactions and applies either set criteria/checklist and/or specific instructions to determine the correct individual or workflow to which the transaction must be routed (ex:  new business, renewal recaps, audits, cancellations, drivers lists, MVR’s etc.).

Logs new business applications into the policy processing system; conducts timely and thorough reviews of submissions to discern and enter specific acquisition data.

Using set criteria, routes new business applications to rating for express processing, or refers to an underwriter.

Prepares new business for issuance by assigning account numbers, requesting outstanding missing information from the agent and/or third party service, and electronically separating new business applications into line-of-business folders and starting new business issue flows.

Conducts on-line Experian and Credit Report look-ups, pulls Bureau/NCCI E-Mods for accounts as needed, orders MVR reports by entering driver information on policy processing system, etc., to provide raters and underwriters with critical information.

Either as instructed, or via independent determination of need, creates and sends documents to agencies requesting missing information and follows-up on receipt of missing information.

Closes out files when duplicate submissions are received, and when new business is declined or not taken.  Closes files on a timely basis to ensure accurate management information reporting.

Processes simple transactions on the policy processing system such as entering underwriter/rater and permanent review comments to prevent automatic renewals; enter waived audits, cancellations and non-renewals; creates memos for cancellations/reinstatements; entering Lienholder/Loss Payee changes.

Sorts and distributes reports and forwards all incoming policy-related mail to Imaging.

Reviews “undefined” correspondence and miscellaneous items that cannot be centrally indexed/routed, and determines appropriate action.

As instructed by the Service Coordinator or Manager, pulls templates to enter information to create required documents that are not automatically generated by the policy processing system.  For transactions that cannot be completed and mailed from the central policy assembly area, assembles and prepares documents for mailing to ensure that agents and insureds receive complete/accurate documents within service timeliness standards.

The UTST position in select branch offices is responsible for sorting and distributing incoming mail from the Postal Service; as well as sorting and applying proper postage to outgoing mail.

Miscellaneous clerical work as assigned, such as ordering forms or office supplies; prepares Certified copies of policies.

Type, photocopy, and fax policy documents.

Daily update of UA’s timing data base for all UA’s.

Prepare ODEN Notices as noted in TSTAID14.

For UTST incumbents assigned Surety responsibilities, duties include the following:

Enters individual bonds into computer systems, may include new business, renewals, cancellations, non-renewals, reinstatements, increase/decrease of bonds and other changes.

Mails Power of Attorney document, processes renewal of Power of Attorney document, and maintains original documents.

Selects and assigns Bond numbers to agents.

Processes and renews new and existing bonds, re-invoicing and some indexing.

Reviews and files General Indemnity Agreements.

Completes simple math calculations to determine annual and prorated premiums.

QUALIFICATIONS OF THE UNDERWRITING TEAM SUPPORT TECHNICIAN

Education/Credentials:

High School Diploma or GED required.

Experience:

Prior experience in a mail and file, or clerical position, preferred.

Strong keyboard, data entry and typing skills required.

Good PC skills, with an emphasis on Microsoft Office Suite.

A thorough understanding of the office on-line workflows and processing guidelines preferred.

Good organizational skills.

Good time management skills.

Must be a quick learner and possess good multi-tasking skills.

Must be able to work independently.

Good inter-personal skills.

Good communication skills.

JOB REQUIREMENTS (as required by ADA)

Must be able to operate a computer, keyboard, applicable printers and other general office equipment.

Must be able to access and enter information accurately, using automated systems.

Must be able to communicate effectively, both orally and in written format.

Must be able to interpret and apply concepts based on established guidelines.

Primarily a sedentary position that requires occasional standing and walking throughout the office environment.

Must be able to maintain acceptable attendance and adhere to scheduled work hours.
