Catholic Charities of Baltimore is currently seeking an Administrative Assistant for Weinberg Housing and Resource Center (WHRC). The Administrative Assistant welcomes visitors and answers incoming calls in a pleasant, welcoming, and professional manner during the highest volume of visitors and clients. This includes responding to inquiries by providing information and directing visitors to appropriate resources and providing administrative support to other areas of the facility.
Schedule: Saturday through Wednesday, 3 p.m. to 11 p.m.
Core Responsibilities:
Greet all building visitors in a welcoming and professional manner consistent with the WHRC mission.
Maintain orderly reception area, including various log books at front desk.
Answers incoming calls in a manner consistent with the WHRC mission; give information, route calls and take messages.
Prepares general correspondence as needed (clerical, filing, phone messages, writing corresponding letters, mailing, etc.).
Ensure that all building visitors are properly signed in to the building.
Possess knowledge of all WHRC services in order to direct visitors to the appropriate destination. Direct clients to their destinations in accordance with WHRC policies and procedures.
Delegate work to and provide leadership to reception area volunteers
Qualifications/Requirements:
High School diploma or equivalent required. • Five years of receptionist or customer service experience in a busy reception area or in a similar type position. • Prefer one year experience working with the homeless or at risk populations. • Computer competency and typing skills required. Data entry skills preferred. • Must be customer service and detail oriented and be able to treat clients, volunteers, staff and volunteers with dignity and respect.
