POSITION SUMMARY:

The Advertising & Operations Administrator is focused on ensuring the successful execution of sponsorship and advertising opportunities for live and virtual events. Requiring a strong attention to detail, this position will also administer conference revenue and expense budget tracking. 

ESSENTIAL ACCOUNTABILITIES:

Advertising and Sponsorships

•Collaborates with industry sales team on fulfillment for advertising and sponsorship products sold. This includes communication with industry clients, coordination of AAN compliance review, and collection of design files

•Oversee fulfillment management and tracking of advertising and physical sponsorship items sold at 

AAN conferences

•Relationship management with various stakeholders including hotels, vendors, and sponsors

•Assists in vendor and location selection for industry initiatives at AAN conferences 

•Assist in sales and upsells of current and new clients 

Operations

•Manages data tracking, analysis, and forecasting for the industry sales expense and revenue budget for conferences, providing reports to management

•Provides coordination of industry-hosted education programs at AAN conferences, including grants submission, communication with industry clients, and administration onsite

•Supports open communication with industry clients, including coordinating status meetings and material review check points

•Assist in collecting payments, running reports, user interface troubleshooting or any other tasks that may be needed to fulfill items that have been secured by outside clients

QUALIFICATIONS:

Education:

•Associate of Arts/Vocational/Technical Degree in Management, Business or related field is required

•Bachelor’s Degree is preferred

Experience: 

•3 years of prior administrative or sales/marketing support experience in a business setting or conference/event environment is required

•Event and Exhibit experience preferred

 Additional Knowledge, Skills and Abilities: 

•Demonstrated proficiency in MS Office or similar software suite is required

•Excellent organizational skills, ability to deliver when facing multiple tasks with tight deadlines is required

•Demonstrated excellent attention to detail, accuracy and recordkeeping is required

•Demonstrated ability to effectively handle multiple tasks and deadlines

•Demonstrated excellent oral and written communication skills are required

•Demonstrated customer service skills sufficient to provide prompt, courteous and accurate information to internal and external customers in person, on the phone and through written and electronic correspondence are required

•Demonstrated ability to work effectively and respectfully with others to get the job done is required

•Ability to handle confidential information is required

•Ability to work independently as well as actively contribute to project teams is required  

•Experience with tradeshow software is preferred

ADDITIONAL POSITION INFORMATION:

FLSA Classification:  Non-exempt

Travel Requirements:  Occasional travel required – approximately 5%.  Ability to legally travel outside of the United States, particularly but not limited to Canada. 

Location:  Minneapolis, MN and is identified as hybrid (required to work in the office with the ability to work remotely part of the week)

Schedule:  Rarely beyond standard work schedule required

Physical Requirements:  Standard office setting, with ability to sit for long periods of time, occasional use of stairs; regular use of computer and office equipment, lifting up to 10 lbs.  The physical demands are representative of those that must be met by an employee to successfully perform the essential functions of this job.  Reasonable accommodations may be made to enable individuals with disabilities to perform the essential functions.
