CTS Post Closing Operations is responsible for the execution of various quality control functions performed after document execution. Oversees the process of recording real estate documents with the county and conducts data analyses of recording defects to drive quality and process efficiencies.

CTS Post Closing Operations is responsible for the execution of various quality control functions performed after document execution. Oversees the process of recording real estate documents with the county and conducts data analyses of recording defects to drive quality and process efficiencies.

 

Responsible for supporting real estate transactions by monitoring and providing a high level of customer service and proactive communication to both internal and external customers including lenders, borrowers, notaries, vendors, consumers, brokers, attorneys and county offices.  Utilizes comprehensive knowledge and deep subject matter expertise of mortgage and loan documents and recording requirements at the various counties nationwide.  Demonstrates advanced technical aptitude and knowledge of systems and tools.  Coordinates workflow to ensure team meets or exceeds production requirements, deadlines and SLAs with accuracy and professionalism.  Resolves issues that may impact recording, funding and/or issuance of title policies.

 

Ensures signing appointments, closing package preparation and final title packages are appropriately coordinated for
clients
- Acts as liaison between internal and external parties to ensure requests are effectively resolved
- Ensures appropriate follow up is conducted on any delays in inquiry answers and that the inquiry status is updated in the system
- Monitors service levels to ensure a high level of customer service is provided consistently
- Oversees workflow and coordinates work activities to achieve the volume expected and ensures work produced meets customer service and quality standards
- Updates management on trends, issues or problems that may impact the business or clients and supports research and analysis to provide improvement recommendations, including the development of procedural documentation, training, and  implementation.
- Collects and analyzes client feedback and quantitative call data
- Provides guidance in communication of requirements to clients and ensures good judgment is exercised in the
enforcement or exception to policies.
 
Other responsabliities


  • Guides others in reviewing signed loan and title company documents to ensure accuracy and resolution of escalated post-closing issues and outstanding recording exceptions (recording rejects)

  • Oversees return of documents to internal and external customers

  • May be involved in some aspects of the funding process

  • Handles escalations from internal and external customers

  • Oversees submission of recordable documents related to default and/or originations real estate transactions

  • Provides guidance to ensure recordable documents meet state and county specific requirements to avoid mortgage rejects

  • Oversees recording follow up with vendors and counties to ensure recording service levels are met

  • Utilizes multiple sources including websites, government offices and/or other financial institutions to research, analyze and resolve escalations

  • Identifies and analyzes post-closing defect trends and may provide feedback to internal stakeholders

  • Oversees daily pipeline management and/or assigns workload to ensure team SLA's are met

  • May provide guidance related to electronic recording, vendor recording and/or direct/walk-in recording

  • May order title related product to support recording functions

  • May perform accounting support functions

  • Performs other duties as assigned by managem



  • Requires comprehensive understanding of a range of processes, procedures, systems and concepts within own discipline

  • May act as a lead, coordinating the work of others but is not a direct supervisor

  • Recommends improvements to existing processes and solutions to improve efficiency

  • Works with little supervision within established procedures and practices; may require guidance in complex situations

  • Understands how teams coordinate efforts and resources to achieve organizational objectives

  • Provides subject matter guidance to team; may allocate work

  • Impacts results of own team and effectiveness of related teams

  • Gathers and analyzes data to identify and solve complex problems

  • Exercises judgment based on previous experiences, practices and precedents

  • Evaluates and communicates complex information in a clear, concise manner

  • Exchanges ideas and information effectively

  • High school diploma required; Bachelor's preferred

  • Typically requires 8+ years of related work experience
