Job Description:

The HR Assistant is responsible for assisting Human Resources and Management in the coordination of volunteers, students, and staff time off and leaves of absence. Specifically, this individual will assist in the coordination of student placements, the coordination of provider time off requests, FMLA and other leaves of absence for staff, the coordination of volunteers, and may assist with the process of getting new provider staff credentialed or recredentialed. This is full-time, 40 hours/week position.
RESPONSIBILITIES:
1) Coordinate Provider Time Off Requests
a) Completes updates to provider time off in Outlook
b) Makes regular Updates to Schedule 2.1 in Sharepoint for Providers
c) Coordinates Provider time off notification process following established procedures
d) Completes approvals in Kronos for provider time off requests
e) Maintains and updates grid of required providers on site (ratios of staffing by type and location, for example: acute access slots, OB coverage, physicians accessible at each location, total providers on site)
2) Student Placement Coordination (MA, Provider, Nurse, Behavioral Health, and others)
a) Completes and coordinates student paperwork for HR and the school of origin
b) Coordinates schedules for students and who they will be shadowing
c) Coordinates Orientation and Onboarding
d) Coordination of agreements/contracts with schools
e) Communication internally with appropriate staff
f) Maintain grid of number of students per semester by type, with updates as students are added and slots fill up
g) Coordinate processing of evaluations by clinical staff and management
3) Credentialing
a) Will assist in gathering of information and/or any follow-up necessary with staff needing to be credentialed or recredentialed
b) Monitor state licenses
4) Volunteer Coordination (clinical, non-clinical, event volunteers)
a) Coordinates completion of HR paperwork
b) Scheduling coordination
c) Orientation and Onboarding
d) Communication internally with appropriate staff
e) Approves time off and signs off on hours completed (may be through Kronos or another mechanism)
5) Leave of Absence Administration
a) Coordinate requests for leaves of absence by staff - FMLA and others
b) Complete Short Term Disability applications
6) Other responsibilities as assigned by supervisor.
