Summary:

Provide administrative and project support for the Director and Associate Director of Undergraduate Studies and the Economics Center of Teaching (EcoTeach) Director and Senior Program Coordinator. Work within framework of the EcoTeach mission to support undergraduate education in economics at Duke University, with particular focus on supporting a large major student pool, large undergraduate core courses and their instructors using a combination of administrative processes and technological tools.


Work Performed
General Administration (5%)

  • Control and maintain EcoTeach front office in a professional and efficient manner, offering student and faculty reception when front desk is unattended, and making suggestions for improvement in space and operations. Order and maintain office supplies and product contracts using Buy@Duke.

  • Assist with recruiting, scheduling, training, and supervision of approximately 10 student workers.



Student Services (40%)

  • Plan, develop, and coordinate the preparation, distribution and follow up of major declaration activities, which include academic communications to incoming students and assignment of academic advisors.

  • Administration of Independent Study process, including initial student direction, DUS approval and student registration.

  • Maintain EcoTeach web site as required, with emphasis on opportunity postings, and requirement and special programs deadline updates. Administer online publishing of Duke Journal of Economics, from student submission coordination to final publishing.

  • Assist DUS with Undergraduate Teaching Assistants, including but not limited to organization and participation in orientations and set-up of office hours. Assist in the screening and hiring of Undergraduate Teaching and Research Assistants.

  • Serve as undergraduate payroll representative for students paid on EcoTeach funds.

  • Provide administrative support to the Director of the Honors Program and the DUS as requested, including forms maintenance, tracking of candidates, GPA screening and Honors Poster Session coordination and set-up.

  • Assist in all aspects of the organization and running of yearly graduation ceremony, including working the event. Assist in the organization of Johnson Lectures as scheduled including advertising and logistical planning. Assist and participate in bi-annual advising process, including knowledge of economics major and minor requirements, training and hiring of graduate student advisors, set-up and student notification of open advising hours, and preparation of undergraduate advising materials.

  • Orient students on how to best utilize campus resources to support their academic and professional development.

  • Plan, coordinate and manage events that will strengthen students' connection to the major, such as the Welcome Orientation for new majors, diploma ceremony, and seminar/workshop series including topics such as exploring career paths, task management, media training, etc. This includes activities such as negotiating budgets, coordinating seminar speakers and workshop facilitators, pre-workshop communications, and overseeing activities.

  • Administration of declaration process for Economics majors, including, but not limited to interaction with the Academic Advising Center, coordination of New Major Info Sessions, advisor assignment entry/notification and maintenance of student records.




Communication (15%)



  • Disseminate information to students regarding opportunities related to research, employment, and professional development. This will be done through the use of the department's list service, and other social media avenues.

  • Ensure information is up to date on program's website.

  • Use social media to promote the program and communicate with students about ongoing activities of interest.




Program Administration (40%)



  • Make room reservations for faculty, student and departmental events in the EcoTeach and 03 Conference Rooms, including but not limited to Teaching Assistant office hours, review sessions, exam and exam grading reservations and special events. Control and Maintain 25Live calendars for all EcoTeach owned rooms. Ensure access to EcoTeach owned rooms through the Card Reader Scheduling software. Facilitate proctoring of special exam situations such as make-up exams and extended time exams.

  • Administration of Economics Course Registration Policy, including pre-requisite overrides, and resolution of myriad registration issues. Interface with Registrar's Office and SISS Office.

  • Develop and budget production of program's promotional materials, and represent the department in public events such as Blue Devil Days, and prospective major's events.

  • Maintain data regarding student academic performance and track fulfillment of graduation requirements.

  • Maintain data for student records, course scheduling, course reporting using several databases. Track learning objectives and outcomes and coordinate assessment activities related to the undergraduate program.

  • Monitor and evaluate program effectiveness through course evaluations, surveys, questionnaires, etc.

  • Investigate trends, recommend, and implement modifications to improve program effectiveness.

  • Perform other related duties assigned by DUS, Associate DUS or EcoTeach Senior Program Coordinator.


Minimum Qualifications


Education

Work requires a broad knowledge of clerical and accounting principles and practices normally acquired through two years of post-secondary education in secretarial science or a related business field.


Experience


Work generally requires four years of related secretarial/clerical experience to acquire skills necessary to administer complex office functions related to office management, communications, and budgetary/accounting activities. OR AN EQUIVALENT COMBINATION OF RELEVANT EDUCATION AND/OR EXPERIENCE
