Responsibilities

The College of Fine Arts at Florida State University seeks an Academic Program Specialist to manage graduate and undergraduate academic processes for the departments of Interior Architecture and Design and Art Education in the College of Fine Arts. This position reports to the Chair of the Department of Interior Architecture and Design. This position also dotted-line reports to the Chair of the Department of Art Education.


The successful candidate will serve as departmental liaison for central University academic units, state and national organizations, and recruitment. Responsible for the development and analysis of student demographic and enrollment data for Interior Architecture and Design and Art Education. This position provides support to the Director of Graduate Studies (DGS) and Specialized Faculty/Undergraduate Advisor in the Department of Interior Architecture and Design. Responsible for managing the administrative processes associated with admission, registration, enrollment, and recruitment of students to their programs.


This position is responsible for scheduling meetings for the DGS and Undergraduate Advising faculty with students. Consults with Faculty and the DGS and Undergrad Studies to advise and assist grad and undergrad students in course selection and registration. Conducts graduation checks for undergrad and graduate students. Responsible for course building, registration, and textbook assignments for both departments.


Responsible for student record keeping and data entry and analysis; academic planning and implementation of department programs and policies. Develops strategies and reports to gauge student satisfaction. Responsible for the development and analysis of student demographic and enrollment data to assist in recruitment and enhancement of programs. Organizes and implements course schedules. Develops and distributes academic reports, handbooks, accreditation materials, and correspondence.


Gathers, interprets, and conveys institutional policy information, ensuring departmental compliance with University policies pertaining to departments, faculty, and students Responsible for arranging and attending meetings with graduate policy committee and recording distributing meeting minutes.


Updates departmental website focusing on improving accessibility and content and ensuring information is accurate and accessible to current and prospective students. Responsible for providing department-focused training and creation of training manuals for technology tools for faculty, staff, and students. Responsible for development and creation of departmental forms. Coordinates with department faculty and staff in the planning, advertising, and assistance in department events.


Assists in the recruitment of students to the Departments of Interior Architecture and Design and Art Education. This position will work closely with the College of Fine Arts Recruitment Manager and Department Administration to develop and facilitate recruitment processes, and program materials and publications and distribute to interested parties. Attends Orientation and recruitment events for new and prospective majors as department representative, meeting with parents and students and referring them to appropriate faculty, if necessary. Arranges materials for student recruitment and award activities. Responsible for coordinating departmental tours with prospective students. Serves as departmental liaison for central University academic units, state and national organizations, and recruitment. Responsible for managing the department's general email notifications and responding to inquiries about the programs.

Qualifications

  • Bachelor's degree and two years of experience or a high school diploma/equivalent and six years of experience. Note: Higher education can substitute for experience at the equivalent rate

  • Experience communicate effectively verbally and in writing.

  • Ability to establish and maintain effective working relationships.

  • Skill in gathering, interpreting, reporting, and/or editing information.

  • Ability to prioritize, organize and perform multiple work assignments simultaneously.

  • Ability to strategically plan and serve as a catalyst for organizational change, cultivate a shared vision with others, and motivate others to transfer vision into action.

  • Demonstrated application of problem solving skills.

Preferred

  • Knowledge of principles and practices of academic program planning, development, and evaluation.

  • Experience interpreting academic program requirements and providing advice.

  • Knowledge of academic resources available to students at Florida State University.

  • Knowledge of admissions, registration, and graduation requirements at Florida State University.

  • Knowledge of and ability to interpret and apply related federal, state, and local laws, ordinances, rules and regulations.

  • Knowledge of and the ability to interpret and apply related University policies, procedures, principles, and practices.

  • Experience with Microsoft Office Suite.
