Job Description:

Responsibilities:


  • TMS Program Coordination:

  • Serves as the primary conduit between TMS patients, BTM staff, and TMS clinical providers and researchers

  • Ensures all clinical information is available to support the procedures

  • Answers any questions the patient may have and triages questions to the patient care team as appropriate.

  • Obtains the necessary information in order to properly triage new patient referrals and coordinates evaluation appointments with the psychiatrist and neurologist.

  • Schedules any follow-up ambulatory appointments required and helps coordinate urgent add-on procedures

  • Patient follow-up Coordination:

  • Working collaboratively with the TMS technician to respond to patients' questions and concerns, particularly for patients needing coordination of testing and appointments. Seeks direction from the treating TMS provider as indicated.

  • Supports the organization and distribution of patient care correspondences, faxes, forms, and other pertinent clinical requests

  • Patient Scheduling and Clinical Messaging

  • Using Epic, schedules patient appointments and responds to clinician patient care requests as needed.

  • Coordinate and assist patients with insurance requirements such as prior authorizations to support treatment coverage and proper reimbursement for care. Coordinates the clinical and procedural care related to the TMS program to support effective and efficient patient care

  • Provide back up support for the TMS technician to order supplies required for TMS program in coordination with TMS technician

  • Attends ongoing TMS program Meetings

  • Manages TMS programs clinicians' scheduling templates to support opening and closing of ambulatory clinics at the direction of the attending physicians, trainees, and physician assistants

  • Facilitates patient scheduling as requested by the TMS provider

  • Interfaces with the Neurology and Psychiatry Call Center Managers as needed

  • Participates in other Department projects and Programs as requested by the TMS program director or the Manager

  • Qualifications


    • High school diploma; Associates or Bachelor's Degree preferred

    • Minimum of 3 years in an ambulatory practice setting strongly preferred

    • Prior experience working in a clinical setting with physicians strongly preferred




    SKILLS/ ABILITIES/ COMPETENCIES REQUIRED: (MUST be realistic, neither overstated nor understated, and related to the essential functions of the job.)


    • Exceptional interpersonal, communication, and organizational skills required

    • Proficiency with the Microsoft Office Suite required

    • Demonstrable customer service skills, including the ability to use appropriate judgment, independent thinking and creativity required

    • Must demonstrate and foster teamwork

    • Must demonstrate the ability to multitask in an extremely busy environment

    • Ability to respect the confidentiality of patients' medical records and information
