Job Description:


Moffatt & Nichol is actively searching for a Certified Payroll Specialist to join our Corporate Human Resources Team. The Certified Payroll Specialist administers the activities of national and international payroll function (recording hours of work, processing time records, compiling payroll statistics, maintaining payroll control records, and calculating payrolls). The placed candidate will also ensure the generation of the company payrolls, including labor distribution records, vacation and sick leave accrual, overtime and withholding status. They will also meet all government reporting requirements for payroll taxes, withholding and employer contributions.


Duties and Responsibilities

  • Performs a wide variety of activities in preparation, production and processing of U.S. and global payrolls, including computing wage, overtime payments, calculating and recording payroll deductions, processing requests for paycheck advances, and processing terminations.

  • Maintains related records, filing tax reports and voluntary deduction reports.

  • Tracks national and international labor distribution records, vacation and sick leave accrual, overtime and withholding status.

  • Audits timekeeping records for compliance with established standards, maintaining time and attendance records, entering new hires into the payroll system, posting changes in pay and tax status, and miscellaneous changes.

  • Balances and controls earnings and deduction totals, calculating and preparing general ledger entries, inspecting automated system output such as registers and standard reports.

  • Determines and corrects out-of-balance conditions, preparing and filing tax reports, gathering payroll data for inclusion in financial statements, and researching and preparing special reports for management.

  • Calculates and processes various types of pay such as military and jury duty pay, and processing garnishments and levies.

  • Documents and updates procedures.

  • Prepares special reports for management.

  • Meets all government (national and international) reporting requirements for payroll taxes, withholding and employer contributions

  • Manages inquiries and requests related to preparation and distribution of payroll.

  • Ensures accurate and timely processing of payroll updates including new hires, terminations, and changes to pay rates.

  • Maintains employee payroll records.

  • Ensures compliance with U.S. and global wage, and hour laws and best practices.

  • Facilitates audits by providing records and documentation to auditors.

  • Supports global expansion and provide insight for 3rd party vendor(s) to ensure payroll accuracy and compliance in multiple countries.

Qualifications


  • Associate degree or equivalent experience

  • 5+ years of experience running payroll

  • Current Certified Payroll Professional Designation

  • Rounded Payroll experience (Hourly, Salary, Deductions)


  • Fluent in English and Spanish and/or Portuguese

  • Strong Excel Skills (complex formulas, pivot tables, etc.)

  • Attention to detail a must

  • Experience running payroll for an AEC or professional service firm preferred

  • International (outside US) payroll experience preferred

  • ADP Workforce Now or Global experience preferred

Physical demands

Ability to use standard office equipment. Stationary for a prolonged period of time.
