Job Summary:

EPIQ is seeking a qualified candidate for the position of a law firm Hospitality Service Specialist in Washington DC. This position provides career growth opportunities and potential within Epiq and within a large, national law firm.  The position is Full-Time (Monday through Friday), offers health and other benefits, and a 401(k) package.

Responsibilities (Hospitality Support)


  • Follow established guidelines and procedures for receiving, documenting, organizing and distributing supplies and products throughout all beverage centers, kitchens, conference rooms, and common areas

  • Ensure clients’ requests for meeting rooms are set up timely, in accordance to EPIQ and Client standards and instructions provided by the client.

  • Ability to take verbal instructions while taking notes to properly respond and execute client service requests.

  • Oversee catering orders – to include delivery, setup, and cleanup of meetings and events

  • Perform routine walk through of common areas to ensure that all rooms are clean, stocked with supplies and ready for the next meeting

  • Place hospitality supply orders for the office and manage par levels

  • Excellent communication and customer service skills, ability to multi-task, and sharp attention to detail

Responsibilities (Reception Support)


  • The first point of contact with the client’s and guests

  • Answer telephone calls and route calls to the appropriate person or department

  • Take accurate and complete messages

  • Greet and announce visitors in a friendly and business-like manner

  • Maintain neatness and organization of reception desk and reception areas with various administrative duties as outlined by the Site Manager. Report and coordinate any needed service or repairs

  • Perform general administrative duties including check requests, invoice reconciliation, maintaining visitor and courier logs, and other various administrative tasks as requested

  • Monitor, maintain, and order needed reception and hospitality supplies

Requirements


  • Personable, knowledgeable and professional

  • Comfortable being the face of the office

  • Ability to learn skills quickly

  • Flexibility in dealing with simultaneous projects

  • Strong attention to detail

  • Ability to function with a high level of patience, tact and diplomacy in handling any “complaint” situations

  • Working knowledge of Microsoft products Outlook, Word, Excel, etc.

  • Working knowledge of basic conference room technology and aptitude to learn audio visual technology

  • Reading, writing, and arithmetic skills required

  • Excellent organizational and communication skills

  • Strong initiative required; ability to work independently with minimal direct supervision

  • Ability to lift or move 40 lbs. or greater

  • Fine and/or gross motor skills, including the ability to grasp, lift and/or carry or otherwise move packages on a standard wheeled cart with a load capacity of 100lbs

  • Ability to walk, bend, kneel, stand, and/or sit for an extended period of time

  • Manual dexterity required for operating office equipment (phone, copy machines, binding equipment, etc.)

Qualifications


  • High School Diploma or equivalent

  • Minimum of 3 years professional experience in customer service, hospitality and / or reception preferred.  Law firm experience a plus
