Provides administrative and clerical support to Regional Directors of Risk and Safety. Facilitates services and information distribution to Facility, Regional and Corporate Management. Handle’s details of a highly confidential and critical nature.
ESSENTIAL FUNCTIONS AND BASIC DUTIES:
Coordinates appointments and schedules meetings for teams or individuals.
Files correspondence, memos, records, and maintains data in an efficient and orderly file structure.
Creates a variety of documents including memos, letters, presentations, spreadsheets, and reports. Assembles, tabulates, calculates, and maintains statistical data on a scheduled and/or special incident specific frequency.
Gathers and disseminates critical information as requested based on incident specific cadence while maintaining needed confidentiality.
Promotes goodwill and conveys a positive brand image of the Company.
Operates as communications focal point for vendors and contractors on behalf of Risk and Safety via all electronic means.
Maintains systems and processes related to incident reporting, auditing, training, insurance claims, pre-employment screening and document databases.
Oversees day to day function of card access security system, including but not limited to; User implantation, user training, new badge assignments, following up on security concerns, insuring adherence to card access and security policies.
Functions as application developer for Origami system by administering 500+ user accounts, leveraging code experience to build requested advanced feature sets, and maintains accuracy and up-time of multiple data feed sources.
Implementing mobile upgrade and providing Origami application to iOS and Android users.
Provides training to users of Risk and Safety services and systems.
Creates and updates Risk and Safety metric and ranking reporting.
Administration/coordination of PIT(Powered industrial Truck) Safety system called Totaltrax and performance reports by DC and Region with communication to drive improvement.
Administration/coordination of Background check/MVR/Drug and alcohol testing services by AISS/Sterling and performance reports by DC and Region.
Liaison between HRM & Level 3 review committee
Directs information flow to keep leadership informed of area activities and of any significant issues.
Assists other administrative personnel as needed.
Works on special projects as assigned.
Ensures that work area is clean, secure, and well maintained.
QUALIFICATIONS:
Education/Certification:
High school graduate or equivalent
Some college preferred
Experience:
Two to four years of related office experience
System Implementation preferred
Knowledge:
Knowledge of Microsoft Office Package
Knowledge of incident reporting systems or other databases
Skills/Abilities:
Must be able to communicate effectively
Good interpersonal and customer service skills
Solid analytical, creative, and problem-solving ability
Ability to work independently
Well organized
Proficient typing and computer skills
Project management skills a plus
