Relationship & Scope

We are seeking an energetic, proactive individual to join our 120+ member finance team.  This position reports to the AVP, Finance & Operations and is key to ensuring administrative and operations matters are addressed in a timely manner.  

Duties & Responsibilities


  • Assist in planning and coordination of virtual and in-person events which includes Town halls, onsite and off-site meetings/events. This includes scheduling, reserving space, catering orders, logistics, etc.

  • Assist with preparation of binders or material for various Board/Committee meetings, as needed

  • Ensure various facilities, information technology and other operations issues are promptly addressed and resolved 

  • May scribe and prepare meeting minutes as requested

  • Post, update and maintain content on the team’s intranet pages

  • Update personnel related charts and documents (organizational chart(s), seating charts, etc.)

  • Handle all onboarding tasks related to incoming staff (secure systems access, preparing new hire manuals, etc.)

  • Ensure new hires have the necessary technical assistance to set up their hardware and software

  • Prepare and track progress of expense reports and/or vouchers as needed

  • Generate quality, professional documents using company templates and Microsoft Office suite

  • Maintains the strictest levels of confidentiality and interacts appropriately with all levels of the organization

  • May provide backup administrative assistance support as requested

  • Other projects and tasks as assigned.


  • Minimum 5 years of experience providing Administrative or operations support to a team

  • High school degree required; Associate degree+ preferred

  • Strong organizational skills

  • Must be able to manage multiple priorities, maintain confidentiality, and operate with poise and professionalism in a complex, high-profile, and rapidly changing environment.

  • Excellent verbal and written communication skills, with exceptional interpersonal skills is required.

  • Flexibility to work occasional overtime when the need arises is strongly preferred.

  • Excellent collaboration and teamwork skills are required in order to coordinate with other staff to accomplish departmental activities.

Technical Skills

Demonstrated proficiency in Microsoft Office programs (Word, Excel, PowerPoint, and Outlook) is required. Familiarity with Visio is a plus.

Prior experience with company expense report and disbursement voucher systems is preferred

Experience managing multiple complex calendars via Outlook is a plus

Demonstrated proficiency with collaboration tools and portal technology, including MS Teams, Webex and SharePoint sites/OneDrive is preferred
