We are accepting applications for a Administrative Professional 1 (part-time permanent) within the Division of Parks & Watercraft, headquartered in Fulton county. Official Position Description:

Provides general secretarial assistance for assigned park by performing routine administrative tasks:  types memos & forms; coordinates daily work flow of office (e.g., sets up office procedures, revises content of manuals & notebooks); serves as liaison between management & staff to communicate & collect paperwork (e.g., new hire paperwork, volunteer background checks & electronic reporting etc.); cross references data requiring multiple computations; researches paper/electronic boating/title documents/records for hull identification number (HIN) registration problems; uses point-of-sale system to process campground registrations, state & private dock transactions; provides excellent customer service (e.g., answers phones, screens & directs calls, greets visitors, gives directions, respond to park email account); prepares & makes bank deposits; handles & audits registration monies when requested by supervisor; gathers, summarizes & compiles data (e.g., generates report, prepares weekly summary of income, submits information to division.

Coordinates campground operations: coordinates & assists with park retail operations (e.g., campgrounds, camp store, pavilion) under supervision of park management (e.g., contacts vendors for products for resale, assists with rental programs (e.g., camp sites, pavilion, boats), inventories retail stock & submits regular profit & loss reports, maintains operation in a neat & orderly appearance); provides figures for preparation of camp & retail operational budget & oversees expenditures; collects camping  fees, dock fees, sells retail products, records data in income ledger for audit; prepares bank deposits; assists with maintaining park inventory; greets visitors.

Serves as lead worker over support staff (e.g., seasonal employees &/or volunteers) by coordinating work-flow; answers questions; evaluates work assignments & participates in training & assessment on daily basis; assists new employees with computer & time activity setup; assists with coordination of volunteer background checks & electronic reporting.

Produces typed copy to include formatting, or assisting in formatting, of documents (e.g., typing memos, fiscal reports, inventory reports, payroll reports) & routine correspondence as directed by supervisor/management; proofreads work; performs mail merges; manages assigned park records & files (prepares record retention & disposal schedules, creates & verifies information).

Performs other clerical duties (e.g., creates & maintains files, opens, sorts & distributes incoming mail, prepares materials for outgoing mail, drafts correspondence, researches responses to inquiries, orders & stocks office supplies, orders gasoline & diesel fuel, files, maintains calendar, makes copies, schedules meetings, prepares payroll (e.g., reviews employee time sheet for accuracy & completeness, balances employee earning statements to previously submitted payroll, reviews prepared report to ensure accuracy, checks for manager signature); operates park radio; may drive state vehicle from area to area of the park, district, & state to perform job duties (e.g., run errands, pick-up supplies, attend meetings, training, & conferences).

UNUSUAL WORKING CONDITIONS: May require travel; may be required to work long or unusual hours during peak operational periods.

COMPETENCIES: Working with computers, Communicating with supervisors, Peers, and Subordinates, Performing Administrative Activities

1 yr. trg. or 1 yr. exp. in secretarial science or business office applications.
