Overview

Supervise the day to day functions and staffs of Mail Services including Statement Rendering and Mailroom areas. Gather and analyzes data, organize and oversee efforts related to balancing the number of customer statements and notices processed through the third party vendor and in house. Oversee operational mail services, which includes the sorting and distribution of interoffice mail and the accurate classification and distribution of the mail. Directly responsible to the Operations Services Manager in meeting all Service Level Agreements and receiving satisfactory Audit results.

This position is located at our Administrative Services Center in East Petersburg, Pennsylvania (near Lancaster)

The hour are 8:00-4:30 Monday-Friday

Responsibilities

    Oversee the daily workflow of Mail Services areas, including Statement Rendering and the Mailroom.
  • Manage priorities due to unforeseen deadlines and or issues.

  • Monitor the accurate and timely processing of statement cycles, including staff handling of accounts requiring special processing, CDROMS, system reject statements, storage and control of branch capture processed checks and adherence to the retention schedule.

  • Ensure quality control in the processing of outgoing mail to include correct postmarking and proper sealing. Ensure interoffice mail is sorted and distributed timely and accurately to all areas of the corporation to consistently meet deadlines.

  • Recognize system processing issues and report the issue to the appropriate support team through proper notification procedures, including following an issue to satisfactory resolution.

  • Oversee the balancing of statements and notices and research and resolve any discrepancies found in reconcilement procedures including escalating to Information Technology to resolve.

  • Interact with other departments, branches, vendors and outside agencies as needed to resolve issues, communicate changes, coordinate mailings and improve workflow.

  • Manage the use of various mail processing equipment and machinery to include communicating with vendors for service, repair and parts information. Maintain through knowledge of equipment and software necessary to perform functions within the area in order to provide adequate training, answer questions and assist others using the equipment.

  • Monitor employee performance and counsel employees as needed when performance does not meet bank and or department goals and objectives. Prepare performance appraisals, recommending salary increases and conduct performance appraisals. Interviewing position applicants and recommend candidates for hire.

Qualifications

Education

High School Diploma or equivalent. Specialty: Does not apply at this level of education. (Required)

Experience

3 or more years Office. (Required)

1 or more years Management. (Required)

1 or more years Banking. (Preferred)
