The primary purpose of your position is to perform clerical support in an efficient manner in accordance with established procedures, and as directed by your supervisor.


As a Receptionist, you are responsible and accountable to carry out assigned duties and report directly to the Office Manager.

The position includes other duties deemed appropriate and assigned by the Office Manager and/or Executive Director.


WORKING CONDITIONS: Works in office areas as well as throughout the community and its premises.Sits, stands, bends, lifts and moves intermittently during working hours.Is subject to frequent interruptions.Is involved with residents, personnel, visitors, government agencies/personnel, etc.Works beyond normal working hours, on weekends, holidays, in other positions temporarily when necessary.Scheduled hours may change to meet community needs.Attend and participate in continuing educational programs.Is subject to pressure from multiple/emergency calls.Communicates with department personnel.Is subject to hostile and emotionally upset residents, family members, visitors, etc.


EDUCATIONAL REQUIREMENTS Must possess as a minimum of a high school diploma.EXPERIENCE A minimum of one (1) years experience in a clerical position, or proof of educational background is preferred. Must have a working knowledge of filing and respect for confidentiality. Computer experience is preferred.


SPECIFIC REQUIREMENTS Must be able to read, write, speak and understand the English language.Must possess the ability to make independent decisions when circumstances warrant such action and to remain calm during emergency situations.Must possess the ability to deal tactfully with personnel, residents, family members, visitors, and the general public.Must be knowledgeable of administrative practices, procedures and guidelines.Must possess a cheerful personality and be able to work harmoniously with other personnel.Must possess the ability to minimize waste of supplies, misuse of equipment, etc.Must possess the ability to seek out new methods and principles and be willing to incorporate them into existing practices.Must be able to follow written and oral instructions.Has knowledge of personnel application procedures.Must have knowledge and possess ability to respond to emergency system.Is knowledgeable of all office equipment.


PHYSICAL AND SENSORY REQUIREMENTS(With or Without the Aid of Mechanical Devices)Must be able to move intermittently throughout the work day.Must be able to speak and write the English language in an understandable manner.Must be able to cope with the mental and emotional stress.Must possess sight/hearing senses or use prosthetic that will enable these senses to function adequately so that the requirements of this position can be fully met.Must function independently, have flexibility, personal integrity, and the ability to work effectively with other personnel.Must be in good general health and demonstrate emotional stability.Must have a pleasant speaking voice.Must be able to lift and move supplies, etc., without restriction.Must be able to assist in the evacuation of residents.


MAJOR DUTIES AND RESPONSIBILITIES Greet all visitors and vendors and ensure proper sign-in and out. Screens all incoming calls in a courteous and professional manner. Routes calls and takes messages as appropriate.Provides administrative support services to the Executive Director, Office Manager, Director of Marketing, and other department heads.Direct all persons entering the community to appropriate areas.Check in resident during meal time and check on them when not present.Maintain supply of employment applications and related forms.Assist in scheduling maintenance work orders as requested by residents.Maintains and updates resident listing which includes apartment numbers, telephone numbers and emergency contact names and telephone numbers.Filing, typing, copying, faxing, and performs general secretarial functions. Is responsible to receive and direct appropriately incoming business mail and deliveries.Assist residents in the coordination of services as requested (transportation, appointments, etc,)Perform emergency housekeeping services which may include occasional laundry.Demonstrate correct safety techniques.Respect and take care of community equipment and not wasteful of supplies.Contribute to and promote resident and family relations.Follow community’s policies and procedures.Continue growth and expand job knowledge.Demonstrate leadership skills.
