Job Summary:
The Branch Administrative Assistant will provide internal and external customer service and administrative support to sales, warehouse staff, and customers as needed. This position will play a key role in supporting the branch administrative and sales goals as well as providing excellent customer service.
Responsibilities/Duties:
Receive and screen incoming calls
Complete order entry process
Assist in the collection of COD orders
Send thank you and follow up letter per Sales Reps requests
Assist in scheduling deliveries with the DC Manager
Assist our customers with any products and accessory questions
Assist in the submittal of Account Adjustment and Pricing Request Forms
Organize front office and file all warehouse documents
Manage Office Supply ordering
Assist in the creation of flyers to promote products and special pricing as needed
Ordering and distribution of promotion materials via email or mailings as needed including swag, mailings, etc
Generate, follow up, and report on leads through internet search and other sales programs available
Qualify Leads by communicating with GC Awarded project, identify insulation Sub Contractor awarded the project, and identify material specification
Prepare Data Sheet for distribution to our contractors
Forward sales and customer information to Outside Sales Representatives
Track sales leads flow through the pipeline; work with sales team to ensure proper and timely follow up
Other duties as beneficial to IDI
Qualifications/Skills:
Strong computer skills, proficiency using Microsoft Office tools, including Excel and PowerPoint as well as experience with Publisher
Experience with a, ERP’s, CRM program and/or lead generation program a plus
Detail oriented with the ability to prioritize and meet deadlines
Professional and comfortable talking on the phone
Able to work independently and report progress
Excellent written and verbal communication skills are a must
Building materials industry background a plus
Education and/or Experience:
Associates degree in Business or related field preferred
1-3+ years' experience within a customer service field or equivalent work experience preferred
