Job Summary

The Meetings and Events Senior Specialist will report to the Senior Manager of Meetings and Events in the Executive and Internal Communications department, working closely and cross-functionally to collaborate with event stakeholders to identify event goals, content, logistics, budget management and overall coordination of events - from the initial planning phase to on-site execution, and event close out. This position will play a key role in helping to create an outstanding employee experience and a great place to work. The person in this role has true passion for creating events that capture the hearts and minds of the audience.

Responsibilties

The Meetings and Events Senior Specialist's responsibilities include organizing memorable events across the enterprise, including all-manager meetings, senior leadership forums and executive road shows:


  • Design the agenda and develop meeting/event direction and topics, event themes and speaker candidate selections (if applicable).

  • Prepare and negotiate contracts relative to event planning, implementation and execution and facilitate completion with procurement.

  • Identify and select key vendor partners to support activities, including but not limited to event registration, audio visual support and catering.

  • Manage all responsibilities related to events - from evaluation, registration, catering, entertainment, transportation, invitee list, equipment, pre- and post-show communication, and results tracking.

  • Track and report associated costs for event budgeting and forecasting to ensure success.

  • Oversee event survey distribution and feedback evaluation.

  • Create and oversee internal communications events calendar and coordinate with internal stakeholders to coordinate across internal and external events.








Knowledge and Experience

The Meetings and Events Senior Specialist will have an extensive track record of developing and successfully implementing events. Ideally, the candidate will possess:


  • 5+ years of experience in an organization with a focus on event strategy, oversight and implementation.

  • Bachelor's degree or equivalent combination of education and work experience.

  • Industry certification (certified meeting professional) a plus.

  • Sound decision-making, problem-solving and critical-thinking skills relative to job scope.

  • Strong interpersonal communications skills and relationship management experience, able to work productively with internal clients and partners at all levels.

  • Ability to anticipate business needs and design events agenda to help drive business goals.

  • Strong work ethic, initiative and commitment.

  • Able to juggle a diverse roster of projects at the same time, managing these projects from inception through delivery with little oversight.

  • Ability to maintain composure and a friendly, professional attitude under pressure.

  • Detail oriented but able to handle multiple tasks at one time.

  • A team player, collaborative and energizing.

  • Healthcare industry experience and knowledge of healthcare trends helpful.
