Job Summary:

The Maintenance Planner is responsible for planning maintenance activities and supporting maintenance functions. This position provides administrative assistance to improve the overall effectiveness of maintenance activities. This position owns the Preventative Maintenance Program and is directly responsible for its effectiveness.

Essential Duties and Responsibilities:


  • Responsible for planning and organizing the efficient operation and performance of work assignments.

  • Develop operations and maintenance work packages and instructions to support work activities; including pre-planning, material staging requisitioning/expediting, labor estimating, and other field support as needed.

  • Use Planned Maintenance Event log to organize all resources and scheduling of PME’s.

  • Review maintenance/engineering plans and product specifications to determine material requirements and support operation schedules.

  • Anticipate and eliminate potential delays through planning and coordination of manpower, parts and materials, and equipment access.

  • Maintain equipment file lists.

  • Manage the work order system.

  • Responsible for effective project management.

  • Understanding of and compliance with all Quality Assurance policies, and immediate reporting of any potential food safety issues to management.

  • Provide clear task assignments to maintenance personnel and create a shared understanding of the project goals.

  • Facilitate the procurement of all equipment-related parts in support of maintaining proper maintenance equipment.

  • Monitor assignments to ensure they are within the agreed scope, schedule and budget, and that the work is being performed within outlined policies and expectations.

  • Follow SOP’s for purchase request and purchase order approvals.

  • Research and acquire mobile equipment.


  • Track maintenance-related KPI’s and provide area manager with data required to make informed decision.

  • Responsible for managing part lead times to ensure all required parts are in-house and available for scheduled maintenance.

Other Duties and Responsibilities:


  • Work with purchasing to obtain materials based on production forecasts.

  • Work with plant engineering and related design areas to develop tools and instructions that maximize facility and equipment performance.

  • Develop effective relationships with the production team, maintenance team, Production Supervisors, Maintenance Supervisor and local contractors.
  • Bring together appropriate contractors, employees, and others to make timely, effective decisions.
  • Understand and adhere to Good Manufacturing Practices.
  • Safety Protocol

    • Stop any observed unsafe acts and obey facility safety rules and procedures.

    • Correct or report any observed safety hazards.

    • Support safety policies and programs.

Education Required:


  • High School Diploma or GED required.

  • Technical Degree and/or specialized training in the mechanical/technical field, especially Industrial Maintenance preferred.

Experience Required:


  • Minimum one (1) year of experience planning and implementing maintenance projects preferred.

  • Experience with Maintenance Management Systems preferred.

  • Experience using hand tools, machine shop/plant equipment and electronic meter preferred.

  • Experience working in conceptual and theoretical project design and for the creation of improved systems required.

  • Significant Work Control experience preferred.

Skills Required:


  • Advanced computer skills with Microsoft Excel, Power Point, Word, Outlook and field-specific software.

  • Basic math plus fractions, decimals and percentages, as well as algebraic calculations.

  • Demonstrate excellent organizational skills, establish priorities, ability to multitask, and meet deadlines.

  • Able to provide current, direct, complete, and “actionable” feedback to others, identifying issues and taking appropriate action.

  • Strong interpersonal skills and ability to work effectively at all levels in a collaborative team environment.

  • Ability to work in a fast-paced environment.

  • Able to exchange basic informational data (fill out forms/checklists, copy data from one record to another, etc.); interview to gather information; advise others on alternatives/options; coach and counsel others; read, understand and explain technical data.

  • Communicate effectively both verbally and in writing with executives, managers, colleagues and individuals inside and outside the organization.

  • Results driven, bottom-line oriented, strive to exceed goals, and motivate self and others to achieve positive outcomes.

  • Accurately scopes out length and difficulty of tasks and projects, sets objectives and goals, breaks down work into the process steps, develops schedules and assignments, anticipates and adjusts for problems or roadblocks, measures performance against goals, evaluates results.

  • Exhibit a professional manner in dealing with others and work to maintain constructive working relationships.
