Position Summary


The Senior Payroll Specialist plays an important role in the organization by performing a number of activities related to the company’s Payroll functions. The role is primarily responsible, under direct supervision, for accurately processing semi-monthly payroll, reconciling reports, and responding to employee payroll-related inquiries.


Essential Functions



  • Process company payroll on a semi-monthly basis. Audit payroll before and after it is submitted by pulling reports and using formulas to reconcile data. Review timecards for hourly employees to make sure there are no errors. Prepare final and manual checks for employees as needed.

  • Adhere to all state and federal regulations for payroll processing including sick leave/leave of absences and kin care. Track sick time for leave of absences and partner with HR in maintaining accurate information in the system.

  • Prepare payroll incentive compensation and bonus payments submitted by the Finance department into the correct format so that it can be uploaded for payroll. Reconcile all payroll totals from the Finance department against what is uploaded in HRIS. Prepare YTD reconciliations of incentive compensation and bonus payments each pay period.

  • Update and audit employee personal and job information in the database. Keep detailed and organized payroll records. Prepare and submit payroll documents to the Finance department each pay period. Assist the Finance department with any reports needed for audits.

  • Ensure that payroll taxes that are not handled by third-party payroll company are reconciled and remitted to the proper tax agency on time.

  • Respond to inquiries from employees about salaries, wages, and all other questions regarding our payroll system. Resolve any discrepancies surrounding payroll issues.

  • Assist in training new payroll employees and help less experienced payroll employees.

  • Write and produce customized reports for various key stakeholders.

  • Review and process all compensation plans, validate they are set up correctly in our system, and initiate any special salary payments.

  • Perform other duties as assigned.

Qualifications



  • High school diploma or equivalent required; Bachelor’s degree preferred, along with three or more years’ experience in in-house payroll processing and administration within a high volume, multi-state, corporate environment.

  • CPP or PCP Certification, or PCP or CPP Certification in progress, preferred.

  • Strong experience in payroll processing and systems application specifically in the area of Payroll Operations and employee data maintenance.

  • Extensive understanding of required compliance with legal, regulatory, and financial requirements governing functional tasks and activities.

  • Experience with UltiPro Software/Cognos Business Intelligence Reporting is preferred.

  • Basic knowledge of Accounting.

  • Strong interpersonal and communication skills.

  • Highly organized and detail oriented; ability to work in a fast-paced, metrics-driven environment required.

  • Ability to multi-task and support day-to-day activities while managing customer inquiries.

  • Ability to maintain strict confidentiality.

  • Ethical, with a commitment to company values.

  • Direct supervision required, depending on experience level

  • Moderate amount of independent judgment and discretion used in the execution of core job responsibilities

Requirements


Physical: Work is primarily sedentary; mobility in an office setting.


Manual Dexterity: Frequent use of computer keyboard and mouse.


Audio/Visual: Ability to accurately interpret sounds and associated meanings at a volume consistent with interpersonal conversation. Regularly required to accurately perceive, distinguish and interpret information received visually and through audio; e.g., words, numbers and other data broadcasted aloud/viewed on a screen, as well as print and other media.


Environmental: Office environment – no substantial exposure to adverse environmental conditions.
