Job Summary:

SAVA is seeking a Project Manager who will be responsible for overseeing the Docketing Unit of The Office of Internal Affairs (OIA). This candidate will be responsible for strategically planning and managing the operations of the Docketing Unit, including monitoring daily progress, tracking performance, reporting, and coordinating technical/data processing.

 

Responsibilities:


  • Maintains frequent contact with the COR, OIA federal government supervisor (OIA’s Assistant Director for Management & Administration), trial attorneys, and support staff.

  • Consults with and provides direct support to OIA’s Assistant Director for Management & Administration concerning Docketing Unit oversight, including operations, scheduling, work assignments, staffing, progress reporting, and security.

  • Participates in intergovernmental coordination efforts with the State Department, Department of Homeland Security (DHS), and Federal Bureau of Investigation (FBI) to improve OIA’s case processing operations.

  • Directly responsible for coordinating Immigration and Customs Enforcement (ICE) inquiries to OIA.

  • Directly responsible for coordinating Bureau of Prisons (BOP) contact requests to OIA.

  • Directly responsible for coordinating Interpol notifications to OIA.

  • Participates in organizational change efforts with external and internal stakeholders to include process improvement and project management.

  • Subject matter expert on OIA’s electronic case tracking system.

  • Coordinates with CRM-ITM to develop and implement updates to OIA’s electronic case tracking system. Develops and leads the delivery of Docketing Unit guidebooks, training material, directives, and memoranda to drive continuous improvement.

  • Ensures the receipt, review, and equitable assignment of both paper and electronic workload to Docketing Unit personnel on a daily basis.

  • Supervises staff in performing administrative tasks including opening, updating and closing Mutual Legal Assistance and Extradition requests/ cases.

  • Gathers, analyzes, and reports Docketing Unit performance metrics leveraging Outlook, Excel, and PowerPoint.

  • Generates complex and ad hoc statistical reports and performance metrics dashboards for OIA’s Assistant Director for Management & Administration and other senior leaders.

  • Performs Quality Control (QC) checks on work completed by the Docketing Unit to ensure high quality work is delivered correctly and on time.

  • Maintains and develops multiple SharePoint libraries used by the Docketing Unit and senior leadership including physical mail tracking, QC checks, and records recalls.

  • Maintains and develops the Docketing Unit SharePoint knowledge library.

  • Performs case analysis for merge, deletion, conversion, individual case reassignment, and bulk case reassignments requests in OIA’s electronic case tracking system.

  • Updates and manages staff assignments on OIA’s intranet website.

  • Serves as the liaison between the local records center, trial attorneys, paralegals, analysts, and senior management.

  • Directly coordinates with local courier services to ensure the secure and timely delivery and pick-up of sensitive case-related mail between federal agencies.

Minimum Qualifications: 


  • Minimum 4 years of progressively more responsible supervisory and management experience on major litigation support projects, including proven capabilities and communication skills to successfully interact with clients and attorneys. 

  • Demonstrated ability to manage numerous complex and time-critical litigation support activities simultaneously, including technical/data processing support and eDiscovery support activities. 

  • Requires expert knowledge of litigation support; outstanding writing skills; excellent oral communication skills; and excellent management skills.

  • Must be able to anticipate litigation support needs and develop and execute detailed plans for addressing those needs.

  • Requires knowledge of the Government's data processing environment in which the work is to be performed, including office automation networks, PC-based databases and other applications, and internet and server based databases and other applications, such as but not limited to Oracle, Relativity or other document review platform, and Trial Director.

  • Familiarity with ESI tools and knowledge of eDiscovery procedures and resources required.

  • Expert user of the Government's office and network environment, including but not  limited to, word processing, spreadsheet, imaging, and hardware  and document review platforms systems. 

  • Undergraduate degree required.  Law degree, advanced technical certification, or other pertinent graduate degree preferred. Substantial significant experience may in some cases be substituted for degree requirement.

  • Must be able to pass a Minimum Background Investigation (MBI)

 

 Desired Qualifications:


  • Demonstrates experience or knowledge of OIA’s records management policies, guidance, and expectations that vary by country based on treaty and work with the Department of State.
