Job Description:

The Executive Assistant/Project Support Team (PST) Manager provides critical support to all company departments through a team structure. This position requires communication with staff, clients, investment managers, custodian banks, and other third-party vendors.

Duties and Responsibilities

Executive Assistant


  • Provide administrative support to two or more consultants


    • Manage high activity calendars

    • Process expense reports

    • Arrange and monitor travel accommodations

    • Coordinate meetings as requested


  • Provide client support for supported consultants

    • Track all client requests / emails / deliverables to ensure a response or completion

    • Coordinate meetings with internal staff and clients

    • Coordinate manager invitations for client meetings

    • Format correspondence and presentation materials

    • Coordinate production and shipping of client materials

    • Maintain the CRM with all meeting, materials, and contact information


  • Complete ad hoc tasks assigned

PST Manager

The PST Manager provides a critical supervisory role to the PST department, and requires coordination of PST members across all offices. All PST members will be direct reports to the PST Manager with the exception of the IMR, Boise, Chicago, and New York admins, which will be cross-reports requiring coordination with the direct report manager of each individual. 


  • Adhere to a high level of confidentiality

  • Mentor department staff; facilitate ongoing PST training sessions

  • Complete annual performance appraisal for department staff

  • Approve and manage timesheets for direct reports

  • Balance department PTO requests to ensure adequate coverage

  • Manage company use of Concur expense reporting system; regularly review and analyze company travel expenses; coordinate reviews of travel expense data with CFO; manage travel agency relationship

  • Meet weekly with CFO to discuss PST initiatives or issues

  • Represent PST department on various committees

  • Coordinate client communication for ADV announcements, holiday cards, quarterly commentary, and other needs

  • Responsible for various facility tasks (ordering swag, conference room ware, etc.)

Minimum Qualifications


  • Minimum of five (5) years of experience as an Administrative/Executive Assistant with experience managing and supporting a deadline-driven team.

  • Bachelor’s degree preferred, but not required. Significant work experience may meet the Bachelor’s degree preference.

Preferred Qualifications


  • Knowledge of the financial services industry and professional service companies helpful but not required.

  • Demonstrated ability to lead through example and mentorship

  • Demonstrated organizational skills and attention to detail with the ability to manage high-level tasks; demonstrated growth in quality of work and job responsibilities

  • Ability to perform a variety of highly responsible, complex, and confidential functions involving the use of independent judgment and personal initiative

  • Ability to work independently and as a team to problem-solve and develop workable solutions from complex and ambiguous data; ability to ask the right questions and find the right people for answers

  • Ability to work in a deadline-driven environment and handle multiple tasks simultaneously

  • Excellent written and oral communication skills; strong interpersonal skills with polished internal and external client service skills

  • Demonstrated contributions to team environment and team advancement

  • Friendly, professional work demeanor; bility to maintain a positive attitude even under the most stressful situations

  • Good judgment, flexibility, creativity, and sensitivity in response to changing situations and needs

  • Advanced knowledge of Microsoft Suite (Excel, Word, Outlook, PowerPoint, Adobe)

  • Advanced knowledge of booking travel
