Job Summary:
Responsible for assisting clients in the management of their real estate information through web-based software.
Essential Job Duties:
Responsible for processing complex lease documents.
Complete accurate lease abstraction and/or review abstractions completed by 3 rd party.
Continuous monitor, tracking, and report critical date information related to lease renewals, terminations, estoppels, SNDAs and all other related agreements.
Ensure data integrity.
Set-up and maintain reminders for portfolios.
Upload and bookmark files accurately.
Identify potential conflicts in lease or high risk items.
Create and conduct audit functions along with tracking savings, when applicable.
Initiate and process monthly rents and rent increases throughout the lease term including the reconciliation of invoices related to rent, percentage rent, operating expense, CPI; and report any potential savings or discrepancies identified.
Ensure lease reviews are relative to pertinent information including free rent, prepaid rent, security deposits, etc.
Generate standard real estate reports, ad hoc reports, and conduct research related to client requests for information.
Track account receivables associated with subleases including the generation of billings and the collection of past due amounts for rent, additional rent, common area maintenance, real estate tax, insurance, etc…
Review Landlord opening co-tenancy requirements and monitor ongoing shopping center co-tenancy for violations.
Maintain insurance certificate compliance as required for clients.
Maintain relationships with clients.
Maintain client Playbook.
Review abstracts prepared by other team members.
May be required to provide administrative and lease interpretation support to other personnel within the department.
Assist the Real Estate team as necessary with information required in the decision-making process for new and relocated store growth and potential sub-tenants.
May perform other duties as assigned
Skills, Education and Experience:
Associates degree or equivalent work experience.
Minimum 2 years lease administration or lease accounting experience.
Lease database experience required Proficient Microsoft Office specifically Excel and Word is required;
Ability to work effectively with limited supervision;
High energy and professional attitude
Strong customer service Landlord/Tenant relation skills;
Retail work experience preferred
