Job Summary

The Executive Assistant (EA) provides administrative and analytical support to the Associate Vice Chair of Clinical Research/Director of the Clinical and Translational Science Institute (CTSI) (AVC-CR/Director of CTSI) and the Associate Director of Clinical Trials Operations (AD-CTO). The individual will provide executive level support and manage special projects, with responsibilities ranging from complex scheduling and calendar management, priority setting for the AVC-CR/Director of CTSI and AD-CTO and interfacing with a wide range of internal and external partners (that may include faculty, staff, consultants, vendors, etc.), writing and editing correspondences, managing contact information and data for the program, identifying opportunities to improve administrative functioning and operations of the program, managing travel booking and expense reimbursements, and meeting and event planning to independently seeking and gathering materials and data from various sources and presenting them in a coherent, organized way. Independent, effective, and accurate work skills contribute to various, business office initiatives.

The Executive Assistant is often assigned work on a project basis and is expected to manage the entire problem-solving process, which includes researching and analyzing information, identifying and recommending potential solutions, and presenting the finished product in the form of a written recommendation or a completed project. The executive level support will include preparing & analyzing unit level data reports, project management for the AVC-CR/Director of CTSI and AD-CTO, staffing several high-level committees & event planning. The business office support includes drafting communications and updating the website and other forms of outreach of the AVC-CR, AD-CTO and CTSI. The Executive Assistant must be detail-oriented and will be responsible for maintaining and updating reports, keeping track of deadlines and assisting with grant submissions. This position will also be responsible other administration projects as needed.

Monday - Friday, 8:00 am - 5:00 pm

Required Qualifications

* Bachelors degree in related area and/ or equivalent experience/training

* Two years of experience providing executive level support

* Political acumen and sensitivities to the differing perspectives and political circumstances within all levels of the organization as well as the Office of the President and external constituencies

* Strong skills in short-term planning, analysis, problem-solving, and customer service

* Prior experience managing complex scheduling for a senior executive

* Interpersonal skills including verbal and written communication, active listening, critical thinking, persuasiveness, advising and counseling skills

* Ability to use discretion and maintain confidentiality

Preferred Qualifications

* Master s in Public Administration or equivalent combination of education and experience

* Thorough knowledge of University rules and regulations, processes, protocols and procedures for budget, accounting and fund management, and/or personnel management

* Knowledge of a variety of administrative operational activities such as event planning, basic fundraising processes, risk management planning, website design, accounting and payroll, and contracts and grants regulations and guidelines

* Solid knowledge of common University-specific computer application programs

* Thorough knowledge of financial analysis and reporting techniques, and/or human resources policies and procedures for staff and academic employees
