We're hiring an Facilities Administrative Assistant at our Montgomeryville, PA location The Facilities Administrative Assistant will provide administrative support to the Facilities and Maintenance Manager to ensure the efficient operation of the department by supporting the manager and department employees through a variety of tasks. The position assumes daily clerical & administrative duties such as data entry, invoice downloads, processing and distributing. Also will provide secondary administrative support to other department managers upon request

Essential Functions


  • Provide administrative support to the Facilities Manager as needed-including, but not limited to those items noted below.

  • Maintain and replenish office supplies (including tracking inventory) for 101 and 106.

  • Create and maintain effective professional working relationships with all internal and external contacts including customers and vendors

  • Coordinate travel arrangements for upper management on an as needed basis (visits to our plant, etc.)

  • Coordinate meals for onsite meetings with customers as needed.

  • Ordering and maintaining beverages for plant conference rooms.

  • Coordinate and communicate with outside food vendor as needed

  • Coordinate and communicate with external cleaning contractor as needed

  • Work in conjunction with the Maintenance Management to assist in ordering equipment spare parts as needed.

  • Place internal requisitions and/or direct orders to vendors using Oracle

  • Enter requisitions and receive other supplies and materials needed within the Maintenance and Facilities Departments

  • Work with the receiving team and accounts payable team to track and assure timely delivery and receive receipt for all purchase orders placed

  • Develop alternate vendors and sources for obsolete and/or targeted spare parts in conjunction with the Maintenance Manager

  • Place internal requisitions and maintain records of all facility billing

  • Support the HR team with the planning of employee events as needed

Skills, Experience & Education


  • 1 to 3 years working in a manufacturing environment

  • 5 years administrative experience

  • Thorough knowledge of computer systems and programs including but not limited to Word, Excel, PowerPoint, ERP system, creation of access database programs, and SharePoint, Ability to navigate business objects (Oracle)

  • High school diploma.

  • Certification in administrative assistant is a plus.

  • Ability to work in a fast-paced environment.

Preferred Qualifications


  • Excellent written and verbal communication and listening skills

  • Ability to relate to a production environment and interact with all levels of employees

  • Work without direct supervision and analyze/resolve problems using independent judgment

  • Ability to work closely and effectively with all company vendors

  • Must have good communication skills, and be able to handle multiple tasks simultaneously in a fast paced environment

  • Experience writing reports and business correspondence

Physical Demands


  • Moderate lifting up to 25 lbs. is required.

  • When required to visit the manufacturing floor, may be exposed to strong fumes or chemicals.

  • Exposed to moderate noise level.
