As Administrative Assistant to the Associate Vice President of Research and Partnerships Director, Data Sciences for Societal Challenges Institute, oversees administrative day-to-day operations on behalf the Assoc. Vice President. Coordinate and manage all activities related to projects within the program.
Typical Functions May Include:
Coordinates all activities related to the project(s). Monitors data collection processes, prepare and maintain department related documents.
Coordinate including but not limited to calendar ongoing meetings with both internal and external parties; receives and reviews all mail and packages; review and proofreading, as well as distribution of correspondence; prepare agendas, takes notes and distribute information on behalf of the Associate Vice President of Research and Partnerships Director, Data Sciences for Societal Challenges Institute.
Coordinate and Assist with all travel, both domestic, international and regional or national meetings as required.
Establish and maintain on-going reporting processes, including but not limited to program budget, reconciliation of related program expenses, and project status relative to deadlines.
Manage financial account reconciliation, request and track payment of invoices, purchase orders etc., which obligate program funds. Coordinate with Vice President for Research and Partnerships Administrative team for monthly reconciliations and backup as needed.
Developing and administering program procedures for monitoring and tracking all program related data, expenses etc.
Serving as liaison with offices on and off campus attend meetings, work group sessions and seminars as needed.
Researching, collecting and analyzing information and preparing reports or responses to inquiries related to the program at the request of the Director.
May serve as supervisor as needed and perform other related duties as assigned.
Required Education: Bachelor Degree or equivalent combination of education/job related experience, OR:
48 months compliance experience
Skills:
Proficient navigating and maintaining databases
Proficient in Microsoft Office
Detail oriented for accuracy of data and information
Highly organized and able to handle multiple projects and deadlines
Able to communicate well and build rapport quickly with students, faculty and staff
Able to produce reports and complete work within deadlines
