SHORT DESCRIPTION
The Administrative Assistant for Patient Care Services provides Administrative support to the AVP-level for Patient Care Services and functions as a secretary and receptionist to the PCS Leadership Team. The administrative functions include: scheduling meetings, maintaining conference room schedules, composing, typing, organizing, maintaining and distributing documents and incoming/outgoing correspondence for VP/AVP/Administrative and Clinical Directors, handling confidential personnel, financial and patient documents, assists Leadership with daily operational functions.As directed, may be assigned special projects. The Administrative Assistant also provides to the VP and AVP level leadership in the absence of the Executive Assistant I. General secretarial functions include: composing, typing, photocopying, scanning and distributing documents and incoming/outgoing correspondence for Patient Care Services Leadership staff and maintaining various files/forms/documents as necessary. Receptionist functions include: heavy telephone correspondence (which requires that individual serves as a patient/family advocate, staff advocate, and Public Relations representative for the institution), interpersonal communication with staff, potential employees, and vistors/guests, and maintains a professional and functional reception area, which includes immediate
SPECIAL REQUIREMENTS
MINIMUM QUALIFICATIONS
Education: High School Diploma/equivalent. Secretarial Science and/or Business Degree (Program) that includes secretarial scope of practice, and/or related experience.
Experience: 4-6 years office management or administrative assistant experience required; preferably in the healthcare setting.
Other Qualifications: Must possess demonstrated organizational, communication, problem-solving, customer service and computer skills.
Must possess strong secretarial skiils which includes telephone and interpersonal communications, exceptional grammar and punctuation usage, the ability to compose, format, proofread and edit correspondence/docuements and excellent typing and word processing skills.
Must be able to work well independently as well as with a team in a face-paced environment. Must be able to interact with all levels of Administration, staff and community. Must be able to work under the direction of supervisor and Administrative staff.
Must be able to assist the Directors in administrative functions and also support other members of the Patient Care Services Leadership staff. Familiarity with Medical Terminology.
Must know how to operate general office equipment as well as audio visual equipment.
Proficiency in Microsoft Office programs including: Word, Excel, Visio and Publisher. Proficiency in Microsoft Outlook Scheduling is essential.
