Job Summary

We are seeking someone to be responsible for the day to day administrative duties of the facility’s Fleet department at our Moorestown, NJ location.  This position is Monday- Friday. (8am to 5pm) with occasionally earlier shifts required.

Essential Duties and Responsibilities


  • Ensure all driver qualification files meet DOT requirements

  • Reviews all driver and shipping documents to ensure they are complete and accurate (bill of ladings, trip records, fuel tickets, manifests, etc.)

  • Enter back orders and/or cancel work orders each day as the trucks are scheduled

  • Prepare customer invoices for non-scanner drivers (i.e., new or temp drivers) and customer pickups

  • Check orders in the computer for status and verify paperwork once loads are complete

  • Fill out bills of lading for common carriers and tracking backorders and expediting them through to be loaded on the next available truck

  • Order department supplies such as scanners and crates/boxes per customer requests

  • After orders are validated, assist department manager in setting up routes and schedule trucks for delivery

  • Coordinate all job site deliveries

  • Notify night shift supervisor of any specific loading instructions for next day deliveries

  • Ensure all scanners and XRS onboard systems are in working order

  • Receive and log all goods received

  • Notify customers of expected delivery date and time

  • Assist customers, drivers, and internal departments in problem resolutions (i.e., reorders, late deliveries, truck repairs, etc.)

  • Ensure drivers are compliant with DOT hours of service (HOS) and routes are scheduled to maintain HOS requirements

Regular and predictable attendance safely perform tasks and adherence to all safety policies and procedures are essential functions of the job.

Skills, Knowledge, and Ability Requirements

To be considered for the Transportation Assistant position, the following conditions must be met:


  • Strong organizational skills

  • Ability to work independently and prioritize work and deliveries

  • Good verbal and written communications skills and math aptitude.  

  • Previous computer experience recommended

Equipment


  • Personal desktop computers, fax machine, copy machine, calculator, writing instruments, telephone, and various printers

  • Issued safety equipment

Safety


  • Hazards - Exposure to chemicals/fumes, pinch points, exposure to excessive noise, strain/sprain, laceration/puncture, particulate exposure, contusion, temperature extremes, slipping, burns, shock, loss of limbs

  • Controls - Personal protective equipment, safety training, written procedures

  • Safety Equipment – Hard hat, back belt, safety glasses, steel toe shoes/boots, cut resistant gloves, cut resistant outerwear, other equipment as dictated by the specific department.

Work Environment


  • Primarily works in an office environment with controlled climate.

  • Some duties may involve being in a plant environment where noise levels can be moderate to high and be subject to the same general climate conditions of the region (heat, cold, humidity, etc.).  

  • Chemicals, dust, pollen and other typical airborne particulate matter are present within the atmosphere of the production floor and may create some odors in the plant. The Company, to provide its employees with a safe and healthy working environment, limits exposure to chemicals through written procedures, engineering controls, and PPE.

  • While the chemical exposure and odors are under acceptable levels set by OSHA and the WCB, they nevertheless, can be smelled and are handled according to the company’s hazardous communication program.
