Due to extensive growth, Rite-Hite has a Billing Coordinator position open at its corporate office in Brown Deer, WI.


JOB DESCRIPTION 


This position is responsible for assisting with the facilitation of timely payment of Rite-Hite and ARBON invoices. This role performs a variety of routine and non-routine moderately complex billing functions to ensure proper preparation of accurate and timely bills to Rite-Hite and ARBON customers based on customer purchase orders and/or contract terms. This role may also entail complex billing arrangements due to contractual or statutory requirements.

ESSENTIAL DUTIES AND RESPONSIBILITIES include the following. Other duties may be assigned.

Responsible for following standard operating procedures, preparing monthly billing and/or adjustments into the billing system.

Researching and resolving routine and non-routine billing questions and discrepancies.

Research and process any needed change orders mandatory by customer billing requirements.

Prior to distribution of invoices, this position reviews invoices for completeness and accuracy.

Perform any necessary follow up with customers or other internal/external staff to resolve identified discrepancies.

Perform web/portal invoicing procedures as necessary to accommodate customer billing requirements.

Working with all contractors and representatives.

This position audits all orders in JDE against contracts the Contract Administrator prepares.

PRINCIPAL ACCOUNTABILITIES
Preparing all closeout documents.

Maintain consistent phone and email contact with contractors and outside sales representatives.

Effective reconciliation of billing errors.

Effective audits on contracts.

Provide administrative support for mail distribution.

EDUCATION and/or EXPERIENCE
High school diploma or general education degree (GED); or one or two years related experience and/or training; or equivalent combination of education and experience. Excellent math skills are required as well as written and verbal communication skills. Some knowledge of textura billing system and creating excel spreadsheets is highly preferred.

LANGUAGE SKILLS
Ability to read and interpret documents such as safety rules, operating and maintenance instructions, and procedure manuals. Ability to write routine reports and correspondence. Ability to speak effectively before groups of customers or employees or organization.

MATHEMATICAL SKILLS
Ability to calculate figures and amounts such as discounts, interest, commissions, proportions, percentages, area, circumference, and volume. Ability to apply concepts of basic algebra and geometry.

REASONING ABILITY
Ability to define problems, collect data, establish facts and draw valid conclusions. Ability to interpret an extensive variety of technical instructions in mathematical or diagram form and deal with several abstract and concrete variables.
