Job Summary Statement: As a key member of the leadership team within the Human Resources unit in the Department of Physics and Astronomy, the incumbent will serve as the department Academic Human Resources Specialist. Under the direct supervision of the Lead Academic Human Resources Analyst, the incumbent will participate in academic personnel under Graduate Division guidelines. S/he is directly responsible for leading the complete range of personnel actions including advising employees regarding payroll, personnel policies, and best practices as well as ensuring adherence to all applicable University, State, and Federal employment and personnel practices, laws, and agreements, as applicable.

The incumbent will administer the workforce administration of academic new hires, current employees and separating employees. Under the direction and guidance of the Lead Academic Human Resources Analyst, the incumbent will assist in academic training compliance, payroll functions and processes consistent with the University personnel and payroll systems. The incumbent will also assist in the maintenance of current academic physical and digital personnel files.

Shift Start: 8:00 am

Shift End: 5:00 pm

QUALIFICATIONS
REQUIRED/PREFERRED

1. Bachelor's degree with a major in business administration or related field or 1-2 years of professional work experience and demonstrated expertise in human resources, including experience in a department, research, higher education or other public entity or an equivalent combination of education and experience is required.

2. Working knowledge of Federal, State and local laws, rules and regulations, and policies affecting Human Resources activities, including FMLA/CFRA, PDL, ADA, EEO, DOL/FLSA wage and hour guidelines, ERISA, COBRA, and Workers' Compensation.

3. Knowledge of policies and employment practices and the differences related to staff represented by collective bargaining agreements and policy covered staff.

4. Ability to interpret and apply various administrative policies and procedures related to personnel and payroll matters.

5. Ability to comply with personnel and payroll processes to achieve academic unit and departmental objectives.

6. Strong organizational skills which demonstrate the ability to establish clear goals and lead objectives; ability to develop quantifiable measures, and lead others by mentoring and motivating them to achieve individual and team work goals.

7. Ability to exercise a high degree of independent judgment and political acumen; demonstrate personal and professional integrity, engender trust and good will both within the Department, Graduate Division, and across Campus units, interact in confidence, and retain confidential information.

8. Demonstrated exceptional written, oral, presentation and interpersonal communication skills to give instructions and explain policies to individuals and groups.

9. Familiarity with the UCLA Financial and Human Resource Systems such as UCPath, I-9 Tracker for employment verifications, TRS, CDW-Cognos Reporting, FPM Reporting and Bruin e-Permit.

10. Skill to perform mathematical calculations to review and analyze financial and payroll reports.

11. Working knowledge of University benefits and eligibility requirements.

12. Working knowledge of visas and non-resident matters pertaining to I-9 employment verification process.

13. Working knowledge of the most current version of Word, Excel, PowerPoint, and other software, and ability to learn new programs for core business functions as necessary.
