We are seeking a full-time Sales Programs Promo Order Coordinator at our world headquarters in Olathe, Kansas. In this role you will be responsible for processing all incoming promo sold and promo write off orders into Oracle and supporting work flow for peer Coordinator positions as work volume dictates. Other essential functions include:
Answer and handle customer (internal and external) phone calls, faxes, letters and emails to ensure promo orders requests are processed
Accurately enter Promo / consignment / Trade Show/ coop orders into Oracle. Any variance to the Oracle order is communicated to the requestor and supporting departments, verifying that customer order matches Oracle order & communicate any variances to customer
Evaluate all orders for validity – clarify between promo sold, promo write off, and consignment
Inform order requestor when applicable, of unit prices, shipping date, inventory availability, anticipated delays, and any additional information needed by order requestor through order acknowledgements, emails, or direct calls
Process and follow up with customer requests, inquiries and complaints in a timely manner
Follow up on Miss-shipped orders, team with shipping, and complete shipping discrepancy form
Follow up on damaged orders and complete the incident form
Issue Return Material Authorizations and credit memo’s when applicable
Ensure required signatures are provided by the order requestor, occasionally collect required documentation throughout the entire consignment / promo / coop order life cycle, when necessary
Direct support and thoroughly cross trained on consignment activities to ensure proper coverage and assist with workload
Qualified candidates possess a High School Diploma or GED and must possess a minimum of 2 years’ customer service experience. Other requirements include:
Demonstrates proficient knowledge of Excel spreadsheet creation and basic formula set up
Must be detail-oriented and have the ability to work proactively and effectively with minimal supervision
Ability to prioritize and multi-task in a flexible, fast paced and challenging environment
Superior organizational and analytical skills with keen attention to detail and quality
