Overview

Project Management

  • Supports project coordination based on supervision from Assoc Chief Wellness Officer to ensure focus on priority areas aligned with strategic plan
  • Prepares, develops and maintains all project related materials, to include, but not limited to budget, scope, implementation and schedule
  • Develops program and project reports, including achievement of project milestones, metrics associated with milestone success, and project timeline
  • Ensures the successful completion of all projects assigned by Assoc Chief Wellness Officer through effective use of time and other resources.
  • Supports the creation, distribution, and maintenance of feedback mechanisms (Qualtrics surveys) to ensure quality deliverables 
  • Responds to requests for project status, and resource allocation, providing applicable information according to department standard reporting methodologies
  • Compiles, tracks and maintains project activities

Operations & Logistics

  • Participates in regular operations huddle with Assoc Chief Wellness Officer on daily operations and needs
  • Functions as support staff for all OHSU Well-Being programs
  • Financial Management: Under direction of Assoc Chief Wellness Officer prepares financial reports, tracks expenses and budget, provides forecasting and oversees spending in support of the fiscal authority
  • Schedules meetings (virtual and in-person), supports event planning, note taking, action item tracking

Communications

  • Excellent written and verbal communication skills
  • Maintains Well-Being content for website
  • Checks and triages emails in the OHSU Well-Being inbox
  • Graphic design and layout skills to support presentations and the production of the annual report
  • Supports the writing and preparation of announcements, fliers and promotional materials for program marketing and outreach

Collaborative Partnerships

  • This role works with the Assoc Chief Wellness Officer, Chief Wellness Officer, Director of Quality & Safety, OHSU Well-Being Team, and Manager of Performance Improvement, as well as other OHSU members, in person, in writing and by telephone/video meetings to coordinate the work of people in related activities. Represents OHSU to the community, public, industry, and community in such a manner that will enhance the reputation and image of the department.

Responsibilities

  • Bachelor's degree in healthcare-related field.
  • 5 years’ experience in project management, or equivalent combination of education and experience.

Job Related Knowledge, Skills and Abilities (Competencies):

  • Must be able to develop budgets and schedules and document project information and details.
  • Structure and content of the English language, rules of composition, report writing and grammar.
  • Ability to develop, revise and further define a project plan and turn high level deliverables into actionable items.


Qualifications



  • Professional Project Management Certificatio
  • Experience in medical, academic, research, and institutional facilities.
  • Working Knowledge of PMI and professional project management standards.
  • Experience with HIPAA, the Joint Commission/DNV, and related statutes, rules, regulations and guidelines. 
  • Experience using MS Office software 
  • Experience with SmartSheet platform
  • Understanding of OHSU organizational and cultural structure
