General Summary/Overview Statement:



The FACT Operations Coordinator will play a crucial role in supporting daily operations by collaborating with the FACT leadership team and medical staff. This position is central to the administrative function of the team and will contribute to the smooth running of various operational processes.



Principal Duties and Responsibilities:



  • Annual Scheduling Coordination:

    Work with leadership to develop and manage the annual schedule, including planning for vacations and holidays for the team.


  • Advanced Practice Professional Scheduling Support:

    Assist in the creation and management of the monthly schedule for advanced practice professionals.


  • Conference and Meeting Coordination:

    Help plan and schedule educational events such as Journal Club, and assist with organizing and setting up hospitalist conferences, especially when hosted at BWFH.


  • Administrative Support:

    Provide support to FACT leadership by assisting in the creation and distribution of essential documents like policy changes, announcements, and meeting minutes. Maintain bulletin boards, email lists, and relevant manuals.


  • Meeting Planning and Execution:

    Assist FACT leadership in arranging meetings, including setting agendas, tracking attendance, and taking meeting minutes.


  • Special Projects & Operational Enhancements:

    Contribute to the completion of special projects and actively engage in initiatives aimed at improving operational efficiency.


  • Collaboration with Interdisciplinary Teams:

    Participate in cross-functional teams within the hospital or Mass General Brigham Healthcare System, as needed, to support broader organizational goals.


  • Data Management & Quality Control:

    Support quality and process improvement efforts by managing relevant databases, ensuring data security, and auditing systems for accuracy. Maintain and protect patient record confidentiality by hospital policies.


  • Policy Development & Compliance:

    Assist in developing and implementing policies and procedures to ensure the effective functioning of the unit. Contribute to maintaining high standards of operational excellence.


  • Regulatory Compliance & Quality Improvement:

    Collaborate with FACT leadership to ensure adherence to regulatory guidelines and support the development of quality improvement initiatives. Help communicate quality improvement projects to the broader medical staff.



  • Other Duties:



    • Provide routine administrative support, such as sorting incoming mail and managing office supplies.

    Qualifications


    • Bachelor's Degree required.

    • 2+ years office experience preferred.

    • Candidates will have a strong interest in medical care, an ability to work well with medical staff as well as hospitalized patients, and should have problem-solving skills.

    • Adhere to I.C.A.R.E standards.

    • Working knowledge of Microsoft Office: Word, Excel, PowerPoint, Outlook.

    • Excellent written and verbal communication skills.

    • Ability to interact with others in a diverse and inclusive setting.
