Welcome and assist visitors, clients, and callers.
Manage mail, email, voicemail, and package handling (incoming and outgoing).
Coordinate the printing, binding, and delivery of project documents.
Maintain tracking spreadsheets for shipping and courier services to ensure accurate billing.
Ensure premises are tidy and supplies are well-organized; keep coffee bars, food, and beverage coolers stocked.
Monitor and manage monthly office supply expenditures to stay within budget.
Schedule and manage appointments, meetings, lunches, and conference room bookings.
Organize staff events and support client event preparations as needed.
Arrange office lunch and learn sessions with vendors, including coordinating food, delivery, tracking dietary restrictions, setting up audio/visual needs, documenting attendance, and cleaning up meeting spaces.
Report daily balance checks to relevant parties.
Oversee maintenance of office facilities and equipment.
Provide administrative support to the leadership team as required.
Assist in editing the internal monthly newsletter(s).
Requirements:
Minimum of 1 year of office administrative experience
Proficiency in MS Office is required.
Experience with Adobe Suite (e.g., Illustrator or Photoshop) is a plus.
