Project Coordinator Exempt



POSITION OVERVIEW: Responsibilities include, but are not limited to, coordinating among project managers, manufacturers and clients, creating and maintaining project database, project scheduling, standards, contract review and submissions, and other duties and tasks as assigned by the Operations Manager.


RESPONSIBILITIES/DUTIES: Please note the essential functions may vary depending on department size, organizational structure and/or geographic location.

  • Responsible for creating and maintaining project databases and documentation using computer applications such as Smartsheet, MS Project, Excel, Access, and Word and project documentation tools including Project/Program Manuals, specifications, loading schedules, meeting minutes, transmittals, resource assignment database/matrix and process flow diagrams
  • Assist in application engineering designs to ensure proper equipment selections are included and properly budgeted at the onset of projects
  • Responsible for maintaining standard drawing/design packages for individual projects and client programs
  • Responsible for project tracking including the commitments of project participants, resource tracking, adherence to project specifications, budgets and schedules
  • Responsible for documenting and distributing project reports including project timelines/schedules, meeting minutes, resource allocation reports, progress reports and response to project inquiries by project managers and clients
  • Assist in the coordination of meetings for the Operations Group
  • Coordinate and maintain an open line of communication among the sales force, project managers, engineers, other company resources, manufacturers and clients



MINIMUM QUALIFICATIONS: The following are the minimum qualifications an individual needs in order to successfully perform the duties and responsibilities of this position. Please note that the minimum qualifications may vary based upon the department size and/or geographic location.


Knowledge:

* 1+ years working in the electronics field
* Two or more years working with computers
* Knowledge of MS Office including MS Word, Excel, Outlook, Power Point, Access, MS Project, and Adobe.


Skills/Abilities:

* Ability to solve practical problems and carry out responsibilities with little or no supervision
* Ability to prioritize and organize workload for effective implementation
* Ability to clearly and concisely present information in one-on-one and small group situations
* Strong customer and results orientation
* Ability to interact effectively at all levels of the organization and across diverse cultures
* Ability to adapt as the external environment and organization evolves
* Ability to communicate effectively in writing and verbally
