Job Summary:
Under the general direction of Materials Management OR Operation Manager and within established hospital and departmental guidelines, the Team Leader performs a broad range of activities associated with the operation and service level of their designated Materials Management departments. Incumbent will actively support the day to day operations, product availability/stocking, focusing on productivity, customer service, staff support/management, area safety/cleanliness and vendor management. Serves as area expert and will provide coverage in the absence of their OR team, including OR Service Line Coordinators and associates.
Will work directly with Operation Manager to continually analyze current operations and make recommendations for improvement. Inform team and leadership of any potential issues; which may have an impact on the department, staffing, morale or other aspects.
The incumbent will help lead initiatives and projects thar arise from MGB or other cost saving initiatives spearheaded locally at NWH.
The OR Team Leader will support, provide coverage, and ensure that Service Line Coordinators tasks are performed consistently. He will meet with key stakeholders like clinical service providers & leaders, surgeons/surgical offices to review surgical schedules, performance opportunities, and ensure that appropriate levels of implants, instruments, supplies, and equipment are appropriately and consistently stocked. The incumbent will review and help establish policies, procedures, and systems that ensure vendor compliance with loaned instruments, implants, and equipment.
The incumbent and Operations Manager will work collaboratively with OR leadership to help achieve goals set by their team.
The team leader will make sure the invoice tracking and approval process is functioning correctly. He will also assist with Epic Integration and ensure products are maintained and entered correctly.
Qualifications
Essential Functions:
• Execute diverse tasks within Materials Management, focusing on enhancing operational efficiency, service levels, and productivity.
• Actively manage day-to-day operations, ensuring product availability, efficient stocking, and effective staff and vendor management.
• Act as an area expert, stepping in for OR team members, including OR Service Line Coordinators and associates, when needed.
• Collaborate closely with the Operation Manager to continually assess and recommend improvements to current operations.
• Keep the team and leadership informed of potential issues impacting the department, staffing, morale, or other critical aspects.
• Lead and actively contribute to initiatives and projects originating from MGB or local cost-saving initiatives, in close coordination with the Operation Manager & OR leadership.
• Provide support, coverage, and ensure consistency in tasks performed by Service Line Coordinators.
• Engage with key stakeholders, such as clinical service providers, leaders, and surgeons/surgical offices, to review surgical schedules and identify performance improvement opportunities.
• Guarantee consistent stocking levels of implants, instruments, supplies, and equipment.
• Participate in the establishment and review of policies, procedures, and systems to ensure vendor compliance with loaned instruments, implants, and equipment.
• Collaborate with OR leadership to accomplish team goals effectively.
• Oversee the proper functioning of the invoice tracking and approval process.
• Assist in Epic Integration, ensuring accurate maintenance and entry of products.
• Contacts the requested equipment and implant vendors at least 48 hours prior to the scheduled surgery time/date to verify that the vendor is aware of the case and that the appropriate vendor coverage, instruments, and implants are available, (unless the case is scheduled less than 48 hours prior to the surgical start time/date).
• Collaborates CSR and Materials Management team to ensure that implants and instruments have been delivered, processed, and will be ready for the cases.
• Monitors vendor management of consignment inventory.
• Contacts appropriate staff or vendor if consignment levels need to be adjusted. Makes recommendation for on-hand levels.
• Helps ensure MM team is collaborating with clinical staff to maintain preference cards
• Collaborates with and assists with budget projections and reports
• Other duties as assigned.
