Job Description:

Position Summary:

Manage duties for the New York City office and maintain a smooth working environment, as well as assist with administrative needs.

Duties & Responsibilities:


  • Stocking of office, coffee and kitchen supplies, keeping printer trays filled throughout the day and printer rooms neat and clear of clutter.

  • Maintain board room, training room, and hospitality work station bookings that are not handled through MS Outlook.

  • Perform daily walking round of common areas to identify facility issues and tidy up areas.

  • Manage inventory and deliveries:

    • Accept deliveries

    • Cross check invoices with delivery of supplies

    • Validate invoices with packing slips

    • Promptly forward invoices to Office Manager



  • Sorting and circulating incoming and outgoing mail. Manage weekly mail pouches to other branches.

  • Regular Mail and Overnights - Track and implement upgrades for FedEx, USPS, and Postage Meter systems, as necessary. Continue to search for ways to utilize their functionality to improve business work flow and efficiencies.

  • Provide front desk coverage for Receptionist.

  • Special projects as needed - Assist, process, or research items, issues or services required.

Requirements:


  • Undergraduate degree is a plus.

  • Candidate preferably must have a thorough knowledge of administrative practices and procedures, as typically acquired through three or more years’ experience in an administrative role and or mailroom environment.

  • Strong interpersonal skills at all levels of business, including interacting with staff and external business parties.

  • The ability to work independently.

  • Excellent organizational skills, ability to prioritize, multi task, and stay focused.  

  • Ability to lift up to 25 lbs.

Compensation:

The below annualized base pay range is a broad range based on analysis of similar positions in the market.  The actual base pay for the position may be above or below the listed range and determined by a number of considerations, including but not limited to complexity, location, and scope of the role, along with experience, skills, education, training, and other conditions of employment.  Base salary represents one component of Allied World’s comprehensive total reward package, which may also include annual incentive compensation rewards.

Salary Range: $38,500 - $55,000
