Job Summary:
Selected candidates will provide the appropriate data to the Government personnel to support Congressional inquiries, FOIA/Privacy AND WWII benefits requests, IAW MMS documentation and applicable references; provide draft responses to FOIA/Privacy ACT requests; research and respond to WWII benefits requests; provide draft responses using proper USCG correspondence procedures and specified formats; receive, route and track all division mail; prepare outgoing correspondence for mailing; enter data into MMLD
Job Responsibilities:
Receiving and categorizing requests from mail, email, fax, etc
Perfecting the request if necessary
Requesting control numbers
Detailed tracking all stages of correspondence request responses
Recalling and managing Mariner or other records required to craft the response
Scanning records as required
Record hours spent processing individual request
Direct contact with the requestor to clarify requests and/or provide/gather additional information pursuant to Government guidance. Processing FOIA Requests and Government oversight
Prepare draft justification memos and response letters
Recommending redactions
Forwarding requests for legal review
Preparing and routing package for review
Discrepancy correction
Processing fees
Mailing completed responses
Filing administrative copies of completed correspondence responses
Data entry as required
Minimum Qualifications:
Must be able to clear a background investigation
Must be able to obtain a Public Trust clearance
Minimum of 2 years of experience as an administrative assistant, virtual assistant or office admin assistant
Experience using Microsoft Office and Adobe Products
Experience using office equipment, like printers and fax machine
Minimum of a High School degree
