About the Position:


This role is an on-campus, in-person position.


The coordinator will help oversee the effective execution of the operations and administrative functions that support the Division of Enrollment Services by serving as the building manager. This person will oversee the Blanton student services building functions and its maintenance. This person will also work closely with two executive administrative assistants in providing administrative executive support to the Executive Directors of the Division of Enrollment Services and Assistant Vice Provost of Admission.


Essential Functions:


  • Manage the request for the use of the building meeting and conference rooms, through Outlook and STABLE. Approve requests giving priority to important events that support Admission and DES events by carefully re-arranging requests while maintaining the overall support of all building constituents.


  • Maintain the Blanton physical space, ensuring a safe, clean, and functional environment. This includes ensuring the building is secured at the end of the day. Inspect and maintain all aspects of the meeting rooms appearance (lighting, walls carpet, etc.) to ensure that the rooms are kept in compliance with protocols.


  • Ensure the proper use and maintenance of the electric/golf carts that are under the auspices of DES by complying with SMU standards for their use, inspection, and identification. Secure carts in approved parking locations ensure that they are charged and fully functional. Help support the reception area by greeting visitors, answering the phone, and answering DES operations mailbox.


  • Ensure there are daily checks to ensure is ready for visitors. This includes walking around the building and checking that all meeting rooms and restrooms are ready and cleaned.


  • Set up meeting rooms according to the specified requests of the meeting organizers, including seating and table arrangements, A/V access and any other special needs. Ensure that A/V equipment is properly working and contact appropriate parties if maintenance or repair is needed.


  • Submit orders to facilities and others to ensure the building is clean, safe and in compliance with other university protocols. Order supplies specific to the operation of the building from vendors as needed.


  • Help coordinate the Division's holiday party and prepare the building for the holidays including decorating the building before the festivities and after the events. Manage the inventory of all other supply including water, coffee and other goods requested by the Executive Directors. Coordinate with Maintenance & Grounds to submit work orders for repair/maintenance.


  • Serve as the building Liaison with Risk Management and other university offices for emergency exercises and events such as building evacuations, shelter in place, lock-down or other emergency activities. Recruit and train building occupants from each floor of the building to assist with emergencies to ensure compliance by personnel with emergency procedures.


  • Assist with office moves and furniture configurations within the building upon request.






Qualifications



Education and Experience:


A high school diploma or equivalent is required.


A minimum of two (2) years of experience is required.


Knowledge, Skills and Abilities:


Candidate must demonstrate to be detail oriented with the ability to work independently to meet deadlines. Candidate possess expert skills in Outlook and have strong proficiency in Microsoft Office.


Candidate must demonstrate strong interpersonal and verbal communication skills, with the ability to communicate broadly across the University and develop and maintain effective relationships with a wide range of constituencies. Must also demonstrate strong written communication skills.


Candidate must possess strong problem-solving skills with the ability to identify and analyze problems, as well as devise solutions. Must also have strong organizational, planning and time management skills.
