The Science for Nature and People Partnership (SNAPP) Program Coordinator will work within the Global Science business unit and across organizational, disciplinary, and sectoral boundaries to coordinate strategic programs and opportunities that: advance research excellence and innovation and promote engagement of diverse scientists and practitioners at all career stages. This includes regularly interfacing with a large group of program stakeholders to coordinate tasks related to operations support, procurement, meeting management, travel arrangement and expense reimbursement, special events and trainings, file maintenance, and routine website updates.Since 2013, the Science for Nature and People Partnership (SNAPP) has convened more than 50 teams of experts from non-profits, industry. Academia, indigenous, Tribal, community, and government agencies. These "working groups" rapidly bring science to bear on otherwise intractable challenges affecting both nature conservation and sustainable development. SNAPP is a privately funded partnership between The Nature Conservancy (TNC) and Wildlife Conservation Society (WCS). This dynamic program has engaged people from nearly 700 institutions from more than 50 countries across the globe. The Program Coordinator will support SNAPP in its mission to convene multidisciplinary teams to create science solutions around critical challenges facing nature conservation and sustainable development. They will be a first point of contact for SNAPP and its foundational partners TNC and WCS to the public and a wide variety of government, NGO, academic, industry and civil society partners around the world. In close coordination with the SNAPP Director, Program Manager, and Management Team, the SNAPP Program Coordinator will assist with the planning and execution of logistics for SNAPP working group meetings, staff trainings, and regular meetings of the SNAPP Board, Science Advisory Council and Management Team, The SNAPP Program Coordinator will perform regular Information Systems, Human Resources, and Finance administrative tasks, including processing reimbursement requests and other travel forms; coordinating contracts with hotels, catering, meeting facilitators, and other vendors; and organizing and maintaining SNAPP file systems. They will be well versed in the systems and resources utilized by the team in order to execute assigned tasks. The SNAPP Program Coordinator will provide guidance in satisfying administrative requirements based on extensive knowledge of TNC and SNAPP policies and procedures. They will implement processes and practices in order to improve effectiveness. The SNAPP Program Coordinator will communicate with staff in various programs across the Conservancy and WCS, as well as with donors, vendors, and business relations. They will communicate or distribute information to assist staff in making decisions, solving problems, and improving workflow. The SNAPP Program Coordinator will report to the SNAPP Director.The SNAPP Program Coordinator's responsibilities and scope include: SNAPP working group support: The SNAPP Program Coordinator will act independently to support multiple SNAPP working groups with several variables and working within a defined timeline and budget by: Maintaining a clear and effective shared virtual filing system for each group; Arranging contracts for selected hotels, caterers, facilitators, translators and other vendors, as needed for in-person meetings in close coordination with the Global Science Contract Manager; Occasionally arranging flights and lodging directly, as needed on a case-by-basis; Coordinating reimbursement requests and other required travel and payment documentation with Global Science and WCS finance staff; Ensuring compliance with Conservancy policies and procedures, and external (donor/legal/IRS) requirements, and staying abreast of changes to those requirements and updating external materials accordingly; Assisting with the scheduling of virtual check-in meetings, taking notes, and following up on meeting action items after the fact The Coordinator will exercise independent judgment based on analysis and experience, referring difficult questions and unusual problems to the SNAPP Program Manager or Director, as appropriate. Research fellow networking and training: The Coordinator will: Facilitate contracts with universities and other science institutions to host SNAPP research fellows, in close collaboration with Global Science contracts and finance staff; Track deliverables and payments, coordinating reminders to ensure timely completion of tasks by the research fellows and universities; Maintain an easily accessible record of fellows; and Support the organization of a SNAPP fellows training and networking convening every 1-2 years. Annual Request for Proposals (RFP): The Coordinator will work closely with the Program Manager to Monitor the SNAPP Secretariat inbox, fielding questions about the RFP; Coordinating outreach with the SNAPP Program Manager according to the SNAPP Strategic Communications plan; Liaise with the RFP platform vendor regarding technical issues with the application/review portal Organize proposal materials for Management Team and Science Advisory Council review and schedule and provide support for these virtual meetings. This requires demonstrated sensitivity in handling confidential information. Management Team: The coordinator will schedule monthly or bimonthly virtual meetings, coordinating closely with the SNAPP Program Manager to create agendas, notes and action items. They will support the organization of an annual in-person SNAPP Management Team meeting. Board Support: Assist in scheduling, note taking, and managing virtual conferencing software Help to generate meeting materials and assemble presentations/the packet. Communications: In collaboration with the SNAPP Program Manager, the SNAPP Coordinator may support routine aspects of the SNAPP Strategic Communications plan, including updating the SNAPP website, copy-editing, and light formatting of external documents and emails. Team Support: The Coordinator may: Act as a resource to others to solve problems and act in Program Manager or supervisor's stead when instructed; Provide input through project teams for the improvement of existing programs; Travel and work flexible hours as needed. Work environment involves only infrequent exposure to disagreeable elements and minor physical exertion and/or strain; and Work is diversified and may not always fall under established practices and guidelines.The location for this role is flexible within the Americas where TNC is already an established entity. Co-working facilities with a local TNC office are possible if the candidate lives nearby. Preference will be given to applicants that can work most of their workday within the U.S. Eastern Time Zone. WHAT YOU'LL BRING
Bachelor's degree and 2 years related experience or equivalent combination; Experience coordinating administrative processes; Experience generating reports and interpreting data; Experience in business writing, editing, and proofreading; Experience organizing time and managing diverse activities to meet deadlines; and Experience working across teams and communicating with a wide range of people.DESIRED QUALIFICATIONS Multilingual skills and multicultural or cross-cultural experiences are appreciated; Experience working and scheduling across global time zones; Exceptional organization skills; Experience communicating and collaborating with people in many different types of job functions and sectors; Experience in writing for scientific, conservation and/or sustainable development audiences; Ability to analyze information for the purpose of coordinating and planning activities, and solving problems; Ability to use existing technology to achieve desired results; Excellent customer service skills and focus; Experience interpreting guidelines to achieve desired results; Knowledge of current trends in specific field; and/or Strong organization skills, accuracy, and attention to detail.
