Job Responsibilities: 



  • Provide program management support to the International Expositions Unit in the Office of the Under Secretary for Public Diplomacy and Public Affairs.  Working closely with a Project Manager and Director of the Expo Unit, the incumbent will maintain the records of the multi-year Expo projects to ensure that information is well organized and accessible. Activities will include scheduling meetings, taking meeting notes, tracking clearances, maintaining contact databases, and updating project documents using project management tools and techniques.  The program assistant will help with preparing presentations and social media outreach. 




  • Prepare weekly project updates, help plan special events, independently conduct special projects with guidance from the Expo Unit staff.  The Program Assistant will serve as the Expo Unit liaison to the Global Partnerships Office on the vetting of potential donors and the gift acceptance memo process and prepare reports when requested on the status of sponsorships. The Program Assistant will support the Expo Project Manager to ensure effective coordination between the project team, contractors, and interagency partners on programming and other aspects of the project. 




  • Will be a back-up administrative assistant when needed for duties such as travel and logistics.  The employee will work on a mixed team of contractor, civil service, and Foreign Service personnel.  Interaction will include offices and bureaus in the State Department, the interagency, international organizations, and private sector entities.  The individual maybe asked to travel, as needed, and attend meetings with colleagues and counterparts, some of whom will be senior officials.



Minimum Qualifications: 



  • This is an entry level position.  The incumbent must possess a bachelor’s degree and relevant internship or education in international affairs or business. 




  • 1+ years of qualified experience or relevant internship, or education in international affairs or business. 




  • Active Secret Clearance.




  • Strong organizational and analytical skills.




  • Disciplined self-starter with capacity to independently balance competing requirements and priorities in a new office that is developing new programs and projects.




  • Experience preparing and using common tools (agendas, meeting minutes, task lists, periodic reports) to gather project data, organize information, and update stakeholders.




  • Able to research and use data from different sources (e.g. public diplomacy plans, expo reports, budgets, staffing plans) and compile the information in an appropriate format. 




  • Ability to manage travel, meeting schedules, and records for the office.




  • Collegial, energetic disposition: strong communication and outreach skills.




  • Perseverance to follow up and reach closure on pending issues.




  • Capable of coordinating multiple tasks and details.




  • Willingness to engage on issues to learn and strengthen job skills.




  • Able to maintain a broad range of Department and interagency contacts.




  • Comfort and familiarity with writing, blogging, and presentations.




  • Proven writing ability.




  • Experience developing PowerPoint presentations.




  • Blogging on public-facing websites and using Twitter.




  • Established SharePoint knowledge and skills.
