Job Description Summary

The Director of Payroll Operations is responsible for all payroll management and processing activities for the company, consisting of the bi-weekly payroll, semi-monthly, and weekly processing cycles and regulatory compliance for more than 5,000 US employees located in multiple legal entities and jurisdictions. The Director of Payroll Operations establishes, communicates, and monitors the effectiveness of payroll policies and procedures. Responsible for the configuration, training, and operation of the payroll information systems including: ADP Workforce Now Payroll, E-Time / Time and Attendance, and interfaces with the payroll systems. Interfaces include: Workday HRIS, Principal 401(k), labor management systems.

Job Description


  • Operational/Functional:

    • Is service oriented and committed to accurate and timely payroll processing of all employees.

    • Manages payroll information requests and responses timely across the Company including management and employees. Maintains an effective system of monitoring requests and ensures all requests are completed and communicated they are completed.

    • Manages outsourced payroll services to ensure third-party service provider executes upon Service Level Agreements.

    • Communicates and coordinates across functional departments (HR, Legal and Business Units) the implementation of statutory and organizational changes to payroll processing.

    • Analyzes current payroll policies and procedures and recommend best practices for efficiency and accuracy. Keeps current in trends and regulations as they relate to the payroll function.

    • Ensures compliance with all company policies and procedures as they relate to payroll.

    • Collaborates with functional department heads to develop, implement, and monitor effective internal control processes.

    • Reconciles payroll tax return filings prepared by ADP with internal payroll records. Takes timely action to resolve discrepancies between tax returns and payroll records.

    • To effectively complete any other tasks as assigned by the executive leadership.

    • Ensure all system updates are in place and working properly.



  • Strategy and Planning:

    • Project lead on all payroll related process improvements and projects. These projects may have broader implications across HR, technology, legal and business units which will necessitate the need to collaborate, inform, implement and ensure accountability.

    • Has passion about seeking automation and streamlining processes to create efficiency in payroll processing and reporting.

    • Keeps abreast of payroll laws and regulations through connections and outreach to industry associations and partnerships to ensure Sonesta's is current in its payroll practices.



  • Compliance Management:

    • Prepares annual workers compensation wage reporting for policy coverage periods.

    • Maintains accurate and complete employee labor and payroll records in accordance with company policy and labor regulations.



  • Managing your Team

    • Leads and directly manages a team of Payroll Administrators in the Corporate and Shared Service Center Offices. This includes attract, retain and development of talent. Responsible for performance reviews and effective performance management of the team.

    • Provide leadership and guidance to the paymasters within the business units.

    • Conduct department and business unit meetings to ensure a smooth running and compliant payroll function at Sonesta.

    • Establish departmental Service-Level Agreements ("SLA"), monitor and manage team performance against relevant SLA metrics to achieve and maintain SLA goals.

    • Cultivates positive employee relations and morale. Practice sound leadership and management principles to promote a strong culture of teamwork.

    • Ensure team members receive proper training applicable to their position and career aspirations and in accordance with company policy and/or local law.

    • Responsible for team member professional development and provides timely performance feedback.

    • Responsible for monitoring, measuring, and recognizing performance of team members who directly report to the role and indirect reports.

    • Handle employee issues in a professional and timely manner.

    • Support, comply and promote company initiative, policies and guidelines.



  • Leading with Passion

    • Manages effective relationships with third-party service providers including: payroll processing, time and attendance systems, human resources information systems, 401(k) plan administrators, and benefit plan providers.

    • Capable of influencing employees to perform to their highest standard and establishing a trusting environment to enrich the culture.

    • Focus on the mission and well-being of the department, hotel, and company as a whole.

    • Proper documentation and training to support accountability and compliance of the payroll function. Examples; Meetings have agendas, follow up and deliverables, team members have well documented performance, procedures and policies are written, distributed and communicated.

Additional Job Description

A candidate for this position must possess the following applicable knowledge, skills and abilities and be able to demonstrate and provide applicable examples to support his/her competency.


  • Seven to ten (10) years of payroll experience with multi-state payroll administration

  • Five (5) to seven (7) years of management experience in a supervisory capacity required, and Payroll / HRIS systems project implementations experience strongly preferred.

  • Knowledge and relevant work experience in the hospitality industry and collective bargaining agreements is preferred.

  • Track record of delivering exceptional guest and client experience.

  • Subject Matter Expert for payroll related issues and best practices. Includes compliance with FLSA and local wage and hour regulations, payroll taxes, and payroll processing systems.

  • Effective written and oral communications of complex issues. Ability to adapt communications style to meet the needs of different employee and management groups across the organization.

  • Demonstrable ability to organize and manage multifaceted projects across integrated human capital management systems, processes, and departments. Ability to appropriately delegate project tasks and responsibilities to team members and monitor project progress against established schedules and timelines.

  • Solution oriented: seeks input from various impacted stakeholders and collaborates well across departments.

  • Strong technical knowledge of and ability to maximize the features and functions of ADP Workforce Now and E-Time systems preferred, but not required.

  • Advanced knowledge of Microsoft Excel and ability to effectively organize, manipulate, and analyze large amounts of data.
