Responsibilities

Ensures sound fiscal management and compliance, including interpreting Florida Statutes, State and University financial and administrative policies/procedures. Ensures the services mutually defined and agreed upon by Office of the Provost are provided to Office of the President and related units (to include University Relations, University Communications, Opening Nights, Institute of Politics, Innovation Hub, Center for the Advancement of Teaching, Institute for Successful Longevity, Trauma Resilience Collaborative). Assesses, develops, and implements quality control measures ensuring best practices are adopted for business operations. Ensures the most effective operations within the Offices of the Provost and President through program development and process improvement. Serves as a member of the Provost Office Management Team. Reviews and approves actions in consultation with the Director and Associate Vice President for administrative functions with delegated signatory authority.


Provides administrative and financial advice and counsel to Division administrators and assists with implementing University financial, HR, and sponsored research policies and procedures with University wide impact. Provides leadership and direction of policy development by reviewing, analyzing, developing, interpreting, and implementing best practices for sound and effective management within the Offices of the Provost and President. Interprets and communicates policies to faculty, staff, and the administrators. Assumes a key role in ensuring adherence to the University's Strategic Plan. Responsible for implementing initiatives and strategies to meet the university's Performance Metrics and Goals.


Manages and monitors the financial positions of the Offices of the Provost and President and related units. Serves as the Budget Account Manager and implements the annual budget process through budget formulation, preparation, and maintenance. Responsible for developing and maintaining financial reporting. Provides reporting data to the executive leadership of the Offices of the Provost and President and leadership of the related units. Participates in projects designed to expand or enhance financial and operational systems.


Oversees HR transactional administration, recruitment, hiring, training, and evaluation for administrative and fiscal staff. Oversees fiscal and business operations for the administration of Procurement, Travel, Payables and Disbursements and Payroll for the Offices of the Provost and President. Ensures the Division has access to the most up-to-date material and guidance from the University related to Human Resource deadlines, policies, and procedures.


Oversees programs and initiatives of the Provost Office for the division of academic affairs with university wide impact. Produces, compiles, analyzes, and reports academic and administrative data for several faculty recruitment programs. Provides recommendations for the optimization of resources for maximum return on investment and facilitation of the university's strategic plan.

Qualifications

Bachelor's degree and six years of experience related to administrative services; or a high school education and ten years of experience related to administrative services. (Note: higher education may substitute for experience at the equivalent rate.)

  • Knowledge of applicable computer applications and advanced computer functions.

  • Knowledge of electronic data processing as it applies to fiscal and accounting activities.

  • Knowledge of the concepts, principles, and practices of accounting, budgeting, and cost control procedures.

  • Knowledge of the International Standards for the Professional Practice of Internal Auditing.

  • Skill in preparing clear and concise reports, policies, procedures, correspondences, and other written materials.

  • Knowledge of accounting systems and practices.

Anticipated Salary Range

Salary commensurate with experience and qualifications (expected range $80,000 - $90,000)
