Penn Dental Medicine's Office of Academic Affairs oversees and supports curriculum initiatives, student learning and experiences, program initiatives and implements policies and procedures as determined by standards of accreditation. The team is actively recruiting for an ADMINISTRATIVE COORDINATOR.
Job Description
THE ADMINISTRATIVE COORDINATOR for Penn Dental Medicine's Office of Academic Affairs will provide high-level administrative, logistical, and technical support for the daily operations of the department while utilizing advanced learning and administrative management systems to further advance the School's innovation efforts. The successful candidate must possess excellent organizational and communication skills (verbal and written) and have the ability to effectively multi-task. Proficiency with Microsoft Office, Adobe Suite and experience with multiple educational technology platforms, including Canvas, ExamSoft and Panopto is required.
RESPONSIBILITIES
Administrative support to include scheduling of meetings, drafting and maintenance of confidential correspondences, purchasing supplies, reconciling budgets and allocating stipends and reimbursements to educators and student tutors, and serving as the primary email, phone and in-person Office liaison for various PDM stakeholders and the general public. - 30%
Drafting of confidential correspondences for student and third-party registration, credentialing and licensure requests, enrollment, verification and good-standing letters, and other similar documentation. - 30%
Monitor and administer the PDM Absence Portal and ensure all absence-related notifications are sent to the appropriate parties. - 10%
Administer the room scheduling process for curriculum and extracurricular activities. - 10%
Registration and onboarding of student tutors and teaching assistants. This includes drafting and maintenance of all associated documentation, and acting as a liaison with Human Resources and Fiscal Operations to ensure compliance with all policies related to part-time paid employees. - 5%
Provide support for the Selectives education program, including tracking student attendance and course requirements. - 5%
Provide support for educational technologies including Canvas, Panopto, Examsoft, BlueJeans and Zoom. - 5%
Perform additional duties as assigned - 5%
Qualifications
Minimum quals are HS Diploma/GED and 5-7 years of experience. A Bachelors preferred but not required. Experience within a College or University setting preferred.
