Occupational Summary Perform a variety of specialized, complex activities in the coordination of a large department's Human Resources. Strong emphasis on proactive problem resolution and departmental communications.
Work Performed

    Coordinate, process and manage the new hire process with hiring managers to include providing salary quotes to the hiring managers. Coordinate hire activities with hiring managers and new hires. This includes offer letter review, I-9 verification and submission, obtaining and verifying necessary documentation, scheduling orientation and assisting with onboarding activity information, setting up Approvers and Back-up Approvers in Payroll Systems. Serve as point of contact, interfacing with hiring managers, divisional business manager and new hires to provide information and answer inquiries regarding various payroll/HR policies, employment expectations and responsibilities. Communicate effectively, review and submit iForms in a timely manner and in accordance with corporate processing deadlines. Serve as resource on human resources matters, providing guidance to administrators, members of management to include faculty and staff.Demonstrate knowledge of internal HR information by displaying the ability to research, comprehend, and communicate Duke policies and regulations. Recommend best practices in accordance with established University policy. Coordinate the faculty and staff the leave of absence process. Advise faculty, staff and management on policy guidelines, eligibility criteria to include instructions and guidance regarding submission timelines. Serve as a liaison with Employee Occupational Health and Wellness pertaining leaves of absence application and determinations. Manage the New Provider Enrollment process. This includes coordinating with the Divisional Business Managers, the incoming faculty member, the Credentialing Office and other applicable areas to insure all applicable paperwork is completed on time. Assist with special projects as needed including: Flu vaccines, Performance Evaluation Process (PEP), Service Awards, W2 distribution and other special projects as needed. Maintain the Department of Pediatrics Personnel Database.
Perform other duties as needed.


Minimum Qualifications

Education

Work requires knowledge of basic communications, research and education. mathematical principles normally acquired through a high school

Experience


Work requires the ability to review, maintain, research, and report on OR AN EQUIVALENT COMBINATION OF RELEVANT EDUCATION AND/OR EXPERIENCE human resource and payroll information/activities generally acquired through five years of related experience.
