Job Description Summary

The Immunization Navigator is a public health professional responsible for the implementation of the University's immunization requirements. The Navigator serves as a liaison, and one of the very first touchpoints, for Penn students, families, and stakeholders with the University of Pennsylvania.
In addition to high level student support, this position reviews student immunization records, communicates non-compliance, and educates students on vaccines and University requirements. This position is part of the Public Health and Wellbeing team, and effectively represents Wellness as a knowledgeable resource for immunization policies, vaccine information, contributing to the health and wellbeing of the Penn community.

Job Description

The Immunization Navigator will:

  • Assist in enhancing students' experience immediately after enrollment with Penn through positive, clear, and helpful communication regarding immunization requirements

  • Process, review, and verify student vaccine records

  • Monitor the phone, email, and medical record inbox for inquiries and immunization records

  • Implement compliance requirements and clearances of immunization holds

  • Promote University immunization policies

  • Educate students, Wellness staff, and the campus community regarding immunization requirements and vaccine information

  • Evaluate University health requirement processes and makes recommendations for streamlining and improvement

  • Run and analyze report results, identify areas of non-compliance, and audit records to ensure all appropriate documentation is captured and accounted for

  • Perform outreach to students to ensure that expectations regarding immunization compliance policies and procedures are clearly understood and followed

  • Coordinate notification of non-compliant status to students and facilitate steps to become compliant

  • Collaborate with applicable offices (e.g., Information Services, Registrar, the 12 Schools etc.) in the implementation of immunization requirements

  • Collaborate with the Public Health and Wellbeing and Student Health and Counseling teams in planning mass vaccine clinics, attending new student orientation events, and assisting with public health needs

  • Assist in reporting communicable diseases to the Philadelphia Department of Public Health and work with contact tracers in the event of a communicable disease outbreak


  • BA/BS preferred; public health background or interest required

  • Qualified individuals should be able to articulate a strong commitment to diversity and can work effectively with individuals from different backgrounds

  • Ability to interact with a variety of people both in-person and on the telephone.

  • Ability to work in a fast-paced setting with multiple demands that often occur at the same time.

  • Ability to work across multiple data systems.

  • Understand and follow guidelines of HIPAA policy for patient confidentiality.

  • Working knowledge of Electronic Health Records (EHR) systems

  • Excellent organization and time management skills.
