We are seeking a HR Coordinator who will perform human resource activities focused on the areas of compliance to HR laws, policies and procedures for the entire University. The positions primary responsibility is to provide accurate, timely, customer focused HR support to the departments and employees of Johns Hopkins University while ensuring compliance with policies and procedures. The HR coordinator has an excellent track record of working in a team environment to accomplish departmental goals. This position reports directly to the Sr. Leave Administrator.
Specific Duties & Responsibilities
Responds to routine and complex questions related to all aspects of leave administration and ISR (internal service request) processing as it relates to leave compliance.
Monitor weekly and monthly compliance reports related to leave and other related data quality issues and resolve discrepancies directly and/or facilitate the completion of ISRs/ employment actions and/or time and attendance (E210) adjustments by departments.
Monitor and resolve SSL weekly reports by transferring leave from E210 to SAP and vice versa.
Ensures leave compliance to time and attendance entries in E210 for adherence to FLSA as well as JHU HR Policies and Procedures.
Provides E210 adjustments to leave banks and processes administrative updates.
Monitors Birth-Recovery/Parental leave cases, which includes case follow-ups, ensuring the receipt of proper documentation, approving Parental Leave, and forwarding FML approvals to the employee and their HR department.
Assists and advises both staff and HR Business Partners to ensure proper documentation of absences and leaves in the University's timekeeping system (E210).
Instructing clients on FML process and necessary documentation.
Monitoring FML process, including ensuring the receipt of proper documentation, forwarding medical documentation to Occupational Health sending leave approvals or denials to the employee and their departmental HR contacts.
Manage FML process for select group of Bargaining Unit staff who use a different payroll and leave system.
Reviews reports from our disability vendor to process maternity-related approvals, disability claim approvals, and reviews documents for adoption related to FML and proof for Parental Leave approval; this includes loading leave banks in the E210 system.
Responsible for maintaining an excel spreadsheet with status of FML/STD/LTD.
In addition to monitoring their work email box and work telephone line, also responsible for monitoring three group email boxes, and a departmental phone line which receives HR, leave and time-related inquiries from HR Business partners as well as staff, faculty and students ranging from routine to complex issues.
Assists and advises faculty, staff, and HR Business Partners on the compliance of leave and records management, application of HR policies, and payroll activities for the life cycle of employment.
Process adjustments to the paid benefit balances for clinical associates and answer related questions.
Service as a liaison between the department and HR/Payroll Shared Services for processing of leave, and pay-related ISRs and employment actions.
Escalate more complex issues to Leave Administrator and/or Sr. Leave Administrator for resolution.
May perform other duties as assigned.
Minimum Qualifications
High School Diploma or graduation equivalent.
Three years related experience.
Additional education may substitute for required experience, to the extent permitted by the JHU equivalency formula.
Preferred Qualifications
SAP experience preferred.

Working knowledge of federal, state, and local laws and regulations in human resources.

JHU Equivalency Formula: 30 undergraduate degree credits (semester hours) or 18 graduate degree credits may substitute for one year of experience.
