Type of Position: Part-time Temporary, Non-Exempt



Work Schedule, Hours per week: Varies depending on department needs, 12 hours per week



Pay Range: $16.50 - $20.63 *Actual pay depends on qualifications



Pay Grade: 51.51

Position Summary: The Police Academy administrative assistant serves as the central resource to the director and department to drive efficient operations.



Required Qualifications:

  • Associate Degree with 3 years of direct work experience in a similar position within a complex organization

  • 2 years as full time administrative assistant or 2 years of full time project management, or event coordination experience in an office environment

  • Strong and effective organizational skills; ability to work on numerous projects simultaneously

  • Effective interpersonal skills and ability to work with people from diverse backgrounds

  • Ability to problem solve and diffuse conflicts

  • Ability to work fluently with various types of software applications, including word processing, database, spreadsheets, graphics/presentation

  • Commitment to accuracy and attention to detail



    Preferred Qualifications:
  • 5 years as full time administrative assistant or 5 years of full time project management, or event coordination experience in an office environment

  • Work experience in an educational setting

  • Advanced use and knowledge of Microsoft Office Suite

    Position Details: Job duties include but are not limited to:


    • Communication - Communicates and ensures compliance of program goals, standards, and deadlines. a. Prepares numerous types of correspondence, reports, and other written communications many of which are proprietary in nature. b. Manages communication with academy instructors, guest instructors and situational volunteers. c. Responsible for communication with external organizations for the transmission of confidential documents. d. Prepares various types of forms which require specific format and information by selecting the proper document, entering all information accurately and ensuring the materials are correct prior to submitting. e. Maintains confidentiality of sensitive and/or privileged information by assuring security and appropriateness of both verbal and written communication.
    • Scheduling - Responsible for assisting in the of coordination of academy class schedules. a. Support director and academy instructors by ensuring all instructors, volunteers and spaces needed for situational scenarios are secured including all paperwork for approvals/processes. b. Organizes important data and information by creating databases and filing systems, maintaining records, and developing and producing reports. c. Update and revise schedules according to timelines provided. d. Ensure all external and internal constituents are continuously communicated with regarding schedules and any updates handled accordingly.
    • Department Operations - Ensure functionality of the department throughout the year. a. Supports the facilities needs for the program/department by initiating, coordinating and following up on requests for service and maintenance to buildings and equipment to ensure completion. b. Serves as central point of contact by handling phone calls, emails, directing visitors, relaying messages; and facilitating communications both inside and outside of the program/department. c. Understands College resources, processes, and contacts to efficiently complete projects.
    • Professionalism and Interpersonal Skills - Assumes responsibility for interpersonal skills, professionalism and ethical behavior. a. Demonstrates the ability to actively listen to internal and external customers, solicit clarification and determine appropriate response and/or action. b. Maintains a professional demeanor when interacting with others, developing a work schedule, and communicating timelines for projects. c. Serves as an integral part of the department team and demonstrates collegiality, patience and dependability.
