Job Description:

SUMMARY

The Senior Admin provides administrative and clerical support to multiple attorneys and other staff within the Legal, Corporate Responsibility and Philanthropy department. Serves as the department's primary administrator of Subaru's contract lifecycle management and vendor due diligence software. Supports legal and corporate responsibility team members with administrative tasks and projects.

PRIMARY RESPONSIBILITIES


  • Administers Subaru's contract life cycle management and vendor due diligence software (Agiloft), coordinating with users, vendors, and IT colleagues to ensure efficient and accurate management of contracts.
  • Coordinates contract management workflows, including requests for review, document management, and substantive matter summaries.
  • Serves as primary administrative support to Corporate Responsibility & Philanthropy team including coordination of company and foundation payments and tax receipts and review and approval of matching gift requests (using Benevity software), distribution of volunteer shirts and other items to company employees, and additional tasks as needed.
  • Assists in development and production of departmental reporting.
  • Creates and maintains Word, Excel, and PowerPoint documents and presentations.
  • Updates and maintains department content on company intranet and department SharePoint site.
  • Prepares schedules, arranges meetings, processes and distributes mail, and performs other administrative and clerical duties as necessary.
  • Serves as back-up to other Sr. Administrative Professional as needed.

REQUIRED SKILLS & ABILITIES


  • Experience with enterprise-wide software solutions for managing and tracking corporate matters.
  • Advanced skills in the use of Microsoft Office products, including Outlook, Word, PowerPoint, and Excel.
  • Strong organizational skills, ability to prioritize and multi-task as needed, and flexibility to adapt to shifting priorities.
  • Excellent and professional interpersonal and communication skills; comfortable communicating with all levels of the organization and external vendors.
  • High level of integrity and discretion, with the ability to maintain confidentiality of sensitive information.

EDUCATION/EXPERIENCE: Associates degree; equivalent experience will be considered in lieu of degree. 8 to 10 years of relatable experience is preferred.

WORK ENVIRONMENT: Hybrid Role - Eligible for Remote work 2 days per week following onboarding period (90 Days)

FLSA: Non-Exempt

SALARY RANGE: The recruiting base salary range for this full-time position is $44,900 - $61,500 . Within the range, individual pay is determined by factors, including job-related skills, experience, and relevant education or training.
