Role description:

In this role you will manage document control and work flow processes on the owner's web-based project management system.

Role accountabilities:


  • Obtain and document the required submittal schedule from the Contractor, owner and any Engineers / Architects / Contractors during the life of the project.
  • Operate, maintain and continually update the Program's record keeping systems to store all documents relating to the Program.
  • Employ simple folder hierarchies and metadata tagging methods that enable intuitive EDMS search capability in a user-friendly manner.
  • Assign role-based permissions.
  • Quality Assurance check documents for accuracy of metadata information prior to processing in the Program's electronic document filing system(s).
  • Provide assistance in the distribution of technical documentation.
  • Develop and carry out acceptance procedures for all document deliverables. This will include procedures for document management (distribution of materials, document version control).
  • Secure documents and records to protect from loss, damage, or deterioration, maintained in a system readily retrievable and available for use by authorized persons. Preserving programmatic and project records for all program phases.
  • Provide effective training to EDMS end users.
  • Develop and implement a close out process for the Document Control materials to be transferred to the owner at the close of the Project. Process shall include full organization and coordination of all documents for Port Authority O&M management and oversight.
Qualifications & Experience:

  • Bachelor's degree in Engineering, Architecture, Construction Management or Business with (10) years related experience; in lieu of degree (7) years of experience in document controls and/or technical administrative support on a transit construction project required.
  • Experience with Microsoft Office (Outlook, Word, Excel and Access).
  • Experience in document management software (SharePoint, eBuilder, Documentum, ProjectWise, etc.).
  • Experience with eBuilder software
Preferred Qualifications:

  • Experience implementing, maintaining, and administering document management and controls for large and complex megaprojects.
  • Experience with implementation, maintenance and audit of Electronic Document Management system (EDSM) software including but not limited to e-Builder, opentext Content Server (formerly known as PACS or LiveLink), and SharePoint.

We offer seven paid holidays and potentially up to two floating holidays per calendar year depending on start, and 20 days PTO that accrue per year. The salary range for this position is $110,000 - $170,000.
